    Job Description

    As staff assistant in the Office for the Vice President for Human Resources, you will put your organizational expertise to work in a dynamic environment that requires strong interpersonal and organizational skills. Reporting to UWHR’s operations manager, you will coordinate leadership calendars, triage incoming calls, and maintain VPHR files. This role will also support UWHR employee on-boarding and off-boarding, daily office coordination tasks, welcome guests, and assist with time-sensitive projects.

     

    For large scale meetings, you will help ensure in-person and virtual details are well coordinated—from technology to snacks and other meeting supplies.

    Position Responsibilities:

    Administrative support:

    Provides primary reception and highly confidential professional administrative support with frequent contact with the offices of the president, the provost, deans, members of the Board of Regents, representatives of the media, labor unions, students, faculty, and staff.

     

    Manages the calendar for the vice president by assessing identified priorities and using sound judgment in scheduling and re-scheduling appointments and meetings as necessary. Assists other HR leaders in scheduling meetings that are priorities for the HR leadership team. Provides back-up calendaring support as needed.

     

    + Prioritizes, triages, and/or responds to incoming hard copy correspondence.

    + Assists with meeting planning and support for events, committees and task forces as needed.

    + Arranges travel logistics, including hotel and transportation, and confirmations of flights.

    + Manages office supplies and maintains office equipment, requesting service as needed.

    + Maintains office organization and files daily, ensuring documents can be retrieved in a timely manner and files are kept confidential, complete and current.

    + Performs other duties in support of the vice president or the HR operations manager.

    HR and building coordination support:

    + Support HR on-boarding and off boarding process for new and existing HR colleagues.

    + Coordinates building related activities under the direction of the HR operations manager.

    + Monitors multiple central shared inboxes on behalf of UWHR leadership, directing inquiries to appropriate offices to maintaina high level of service to the University.

    Minimum Requirements:

    Bachelor’s degree in human resources or related field.

     

    Two years of professional level office experience including experience with calendar management for others.

     

    _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. _

    Additional Requirements:

    + Excellent organization skills and attention to detail.

    + Demonstrated strong interpersonal and communication skills (both written and oral).

    + Strong commitment to exceptional customer service.

    + Proficiency in Microsoft Word, Excel, PowerPoint, Teams, Outlook, Zoom, and multiple calendaring platforms.

    Compensation, Benefits and Position Details

    Pay Range Minimum:

    $60,000.00 annual

    Pay Range Maximum:

    $70,008.00 annual
