    Responsibilities

    Provide administrative support for ministry CEO or System Office executive.

     

    + Coordinate schedules, visitors, telephone calls, meetings, deadlines and presentations to ensure the executive office functions seamlessly

    + Maintain executive office calendar

    + Schedule and coordinate management meetings, conferences, special events, and travel arrangements

    + Attend board and management meetings, maintain minutes of all proceedings and act as custodian for all related documentation

    + Prepare and distribute subsequent correspondence as needed, and follow up on action items to ensure completion

    + Prepare and coordinate the preparation of correspondence, reports, presentation materials and other written communications as required

    + Monitor financial and budget information and prepare data for review

    + Provide input to performance management

    Requirements

    Education:

    + High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.

    + Note: Required professional licensure/certification can be used in lieu of education OR experience,if applicable.

    Additional Preferences

    + Minimum of three years related work experience

    + Partner with the Sr. Vice President and Vice President on strategies and priorities

    + Able to look ahead to foresee issues with schedules and mitigate those issues

    + Ability to handle heavy calendar management

    + Work in a team environment with our HR team, the team they support, and can also work independently when the executives are traveling to make decisions, etc.

    + Handle travel arrangements and expense reports

    + Excellent project management skills to handle:

    + Planning of on-site team meetings

    + Agenda preparation for on-site and virtual team meetings

    + Supplier management responsibilities such as requesting new supplier registrations, requesting and tracking POs and invoice payments

    + Backup other colleagues and support the Team Supervisor and ALT Administrator with projects
