You Are:
Detail oriented. It’s all in the details, and you prefer it that way. As the on-site city representative at events, verifying rules and policies are being followed, and being responsible for billing contracts and refunds, you’re down to do the tedious work to make sure others have fun! You have high expectations for events you attend because of your attention to detail and curiosity for how they come together. Your detail oriented nature also means you often catch missing information, anticipate problems, and know when to report issues to your supervisor or ask for support.
Great with customers. You want a job where you can assist people and are comfortable being a key point of contact for your team. You understand the significance and responsibility of your role as a representative of the department, to uphold and implement city policies and procedures. You are skilled at balancing the communication of expectations to event organizers, as well as making sure their needs are met.
Organized. You have a talent for multi-tasking and things rarely fall through the cracks because of the systems you put in place to prevent that. You like a plan, but can shift gears and adapt quickly when needed. When priorities or direction shift suddenly (and let’s face it…they will) you accept it as a challenge instead of letting it throw you off.
Someone who loves event planning. You understand event production and want to be part of a team that makes them happen! You understand working on weekends and being boots-on-the-ground at city events are part of the job, and you feel energized seeing it all come together.
This position is part of the Citywide Events unit and is responsible for quality control, process management, compliance, and communication with internal/external partners.
Duties/Responsibilities
+ Help manage the process that external City event producers will follow when hosting events within the City of Durham.
+ Assesses special events that are held in the City and performs quality control, including on site, ensuring compliance with rules and requirements. Frequent weekend work will be required.
+ Ensures that City-provided support services and event producers meet specified commitments.
+ Consults with management and other staff, in particular departmental liaisons participating on the City’s Special Event Review Team (SERT), to troubleshoot and resolve issues to meet event producer needs to successfully host their event and to ensure the City’s needs are met.
+ Serves as liaison to other City departments and to external event producers, as well as event service providers as needed.
+ Works with staff to ensure the application website and materials are up to date and creates additional documents as needed to address event organizer questions.
+ Analyzes operational processes and recommends improvements, develops performance measures, and develops and updates operational plans.
+ Supervises support staff including conducting performance evaluations, coordinating training, and implementing disciplinary action.
+ Processes special event invoices for payment; issues payment reminders to event organizers; tracks payments; and required inspections.
+ Organizes and attends meetings with City staff and event stakeholders; prepares agendas; evaluates event requests and requirements; presents special event related information and potential impact for review.
Minimum Qualifications & Experience
+ Bachelor’s degree in business or public administration or directly related field.
+ Two years of professional experience in an area related to assignment.
Additional Preferred Skills
+ Experience developing, executing, or assisting in the coordination of any large festivals or events.
+ Experience managing the fiscal needs of an event or program.
+ Experience managing multi-step processes and communication with various stakeholders.
+ Experience producing or assisting with a special event or project that required collaboration with multiple City departments.
+ Organizing tasks, meeting deadlines and prioritizing competing demands.
+ Reviewing and resolving issues or providing appropriate resource referral information.
+ Scheduling meetings and events, determining logistics and making required arrangements.
