Job Description:
Terracon is seeking a detail-oriented and proactive Project Billing Coordinator to support our engineering consulting operations. This role is responsible for coordinating project registration, billing, collections, and procurement processes to ensure accuracy, timeliness, and compliance with internal and client standards.
Key Responsibilities
Project Setup & Maintenance
- Register and review new projects for accuracy and compliance.
- Assist with project opening/closing and budget management.
- Track change orders and alert PMs to budget issues.
- Maintain electronic financial documentation and apply QA standards.
Billing & WIP Management
- Manage billing schedules and initiate billing per contract terms.
- Prepare draft invoices and obtain necessary approvals.
- Finalize and distribute invoice packages with required documentation.
- Resolve billing discrepancies and manage WIP removals.
Collections
- Conduct routine collections via phone/email.
- Document collection activities and follow up on overdue invoices.
- Collaborate with internal teams to resolve outstanding AR issues.
Procurement
- Create and approve requisitions; review and process invoices.
- Onboard new suppliers and manage office checkbook drafts.
- Reconcile office credit cards and handle per diems/cash advances.
Qualifications
- Associate’s degree with 2+ years of related experience, or 4+ years without a degree.
- Strong attention to detail and problem-solving skills.
- Excellent communication and coordination abilities.
- Valid driver’s license with acceptable violation history.
