    ABOUT THIS JOB

    This hourly position is responsible for delivering exceptional administrative support for all functional areas of the regional management team (15-20 executive level managers), including Asset Protection. Logistics, and Human Resources. The Regional Coordinator will also assist store operations with various functions such as communicating store policy and processes, staffing, travel planning, and other general administrative duties. This individual will have contact with managers and associates from the stores. They may also be called upon to support other regional initiatives and projects as they arise.

    WHAT YOU’LL DO – ESSENTIAL RESPONSIBILITIES

    + Administrative duties including but not limited to data entry, use and creation of MS Office projects (Teams, Excel, PowerPoint, Word, and Outlook), filing, and maintaining regional management team's travel calendars.

    + Coordinate regional meetings and conference calls for regional management team.

    + Plan and execution of events involving regional management team such as store reviews, department meetings and teambuilders.

    + Complete travel request and travel expense reports for regional management team.

    + Maintain office supplies, cell phones, business cards, and other supply requests as needed for region management team.

    + Coordinate Training schedules for Asset Protection and Human Resource Teams. Provide venue, supplies, lunch, and other requests for all training events. Complete any required training attendance responsibilities as needed.

    + Complete recruiting efforts for new and existing stores as assigned by Human Resource Team (Ex. CareerBuilder usage) and scheduling external interviews with region team members as needed.

    + Provide customer service to associates by listening and providing appropriate resources and guidance as needed.

    + ADHOC Reporting as assigned by regional management team. Creating and providing additional reporting to store and region teams as requested.

    + Assist in notetaking and distribute notes from Tactical, Strategic, and Planned region meetings.

    + Assist with relocation of associates as needed.

    + Complete special projects and assignments as requested.

    QUALIFICATIONS

    + Ability to provide exceptional customer service in a positive and professional manner

    + Strong organizational skills and ability to work independently with limited direct daily supervision

    + Detail orientation; able to multitask and meet changing deadlines, and dependable

    + Flexibility; able to adapt to change easily, and able to exercise independent discretion on matters of significance

    + Strong written and verbal communication skills

    + Ability to use variety of CarMax HR and other systems

    REQUIREMENTS

    + Two or more years HR, customer service or administrative work experience

    + Proficiency with Microsoft Office systems, including Work, Excel, and PowerPoint

    + Must be able to work out of store location or regional office in Boston, Richmond, or Philadelphia Regions. (Located within one hour of store).
