    Job Description

    Who we’re looking for:

    The UW Medicine Department of Laboratory Medicine & Pathology (DLMP) in Seattle, WA has a fantastic opportunity for a **Program Operations Specialist** with the **Academic Services team** at the University of Washington Medical Center - Montlake.

     

    This role will support three DLMP educational programs: the Medical Laboratory Science Bachelor of Science Program, the Pathologists' Assistant Master of Science Program, and the Master of Science in Laboratory Medicine Program. You will have the opportunity to work with undergraduate and graduate students and a diverse array of DLMP faculty and staff. This is a unique position that intersects education and healthcare, which provides vital support to future essential healthcare workers in three distinct disciplines.

    Work schedule:

    + 100% FTE

    + Monday – Friday

    + Day shift

    What you’ll contribute:

    _Student Recruitment and Retention_

    + Organize, plan, and attend MLSP, MS, and PA recruitment and retention activities including, but not limited to: program recruitment, student orientation, student graduation, and student appreciation events.

    + Build recruitment materials for all three programs.

    + Respond to basic student inquiries regarding admission requirements or other basic program inquiries.

    + Evaluate student scholarship applications with assigned coworkers.

    _Student Admissions_

    + Oversee and participate in all parts of the student admission process for the MLS, MS, and PA programs including but not limited to:

    + Building and tracking all files related to student applications

    + Evaluating external transcripts for equivalency

    + Creating admission interview schedules

    + Notify students of final outcomes

    + Maintaining student application records in accordance with federal, state, university, and accrediting body requirements

    + Monitoring International student requirements

    _Course and Lecturer Evaluations_

    + Oversee and implement course and lecturer evaluations based on the needs of students, faculty, and visiting staff.

    + Solicit student participation in lecturer evaluations.

    + Maintain records regarding course and lecturer evaluations.

    + Provide evaluations to guest lecturers when courses are complete.

    _Affiliate Site Administration_

    + Ensure clear communication and coordination with clinical sites for the purposes of rotation scheduling, student on-boarding, and compiling program evaluations.

    + Manage the student rotation on-boarding process for all affiliate sites.

    + Plan and organize the annual meeting with affiliate sites for the MLS and PA Programs.

    _Administrative Support_

    + Prepare, maintain, and produce procurement documents and reports for MLSP, MS, and PA by using PurchasePath and Ariba.

    + Provide support for MLSP, MS, and PA faculty, staff, and guest travel arrangements and reimbursements, completing travel requisitions and utilizing the Ariba system.

    + Provide support to MLSP, MS, and PA faculty and administrators by performing clerical duties including, but not limited to, minute taking, word processing, graphics, statistical, spreadsheet and/or data base software.

    + Provide support to guest lecturers for the MS, MLS, and PA programs including printing of course materials, uploading materials into University education software, and providing A/V support.

    + Send out reminder emails to guest lecturers the week before they lecture and solicit any materials they want published.

    + Assist with MLSP/MS/PA program accreditation communications and documents.

    What you’ll need:

    + Bachelor’s degree or equivalent experience.

    + Intermediate skills in Microsoft Office applications (i.e., Word, Excel, PowerPoint, Outlook).
