    POSITION HIGHLIGHTS

    + SCHEDULE: This is a full-time position on first shift, Monday-Friday, 7:30AM-4:00PM

    + LOCATION: Garner Correctional Institution, Newtown, Connecticut

    YOUR ROLE

    The Secretary 2 will perform a full range of administrative and secretarial duties in order to optimize workflow procedures. You will assist colleagues by supporting them with a variety of administrative tasks and will be an integral part of our team.

    The Secretary 2 on the DOC Health Services team will:

    + Maintain an inventory of supplies and equipment;

    + Order supplies when necessary;

    + Complete, process and maintain paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);

    + Maintain time and attendance records and tracking;

    + Use Kronos/UKG or other software for employee time and attendance;

    + Design and initiate new forms and procedures to facilitate workflow;

    + Use computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;

    + Arrange, coordinate and schedule meetings using Teams and or Outlook calendars (including securing space and equipment);

    + Generate and disseminate staff assignments daily;

    + Take notes and/or meeting minutes;

    + Write minutes of meetings, lectures, conferences, etc. from rough draft;

    The Department of Correction provides comprehensive health care to the offender population that meets a community standard of care, and includes medical, mental health, dental, addiction and ancillary services, in compliance with applicable state and federal laws and consent decrees.

     

    Garner Correctional Institution

     

    GCI incarcerates both pretrial and sentenced offenders. Through proven programmatic innovation and intervention, the Garner Correctional Institution provides positive alternatives for inmates to assist in their successful reintegration into the community as productive members of society.

     

    Under the administration of then Commissioner Theresa C. Lantz, care and treatment for adult male offenders with significant mental health issues throughout the Department of Correction were consolidated at this level 4 high-security facility.

     

    Based upon their mental health needs, offenders from throughout the system, both pretrial and sentenced, are assigned here. The facility's staff utilizes a highly progressive mental health treatment approach. Individualized treatment plans, based upon an offender's level of functionality include extensive programming and therapy, in a group and one on one setting. The staff at the facility, both custody and mental health, operate through an integrated team approach which insures a continuity of custody, care, treatment and control.

    PURPOSE OF JOB CLASS (NATURE OF WORK)

    In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

    EXAMPLES OF DUTIES

    Performs a variety of secretarial duties as described in the following areas:

    + TYPING:

    + Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;

    + Proofreads for content;

    + Edits using knowledge of grammar, punctuation and spelling.

    + FILING:

    + Designs office filing systems;

    + Organizes and maintains files (including confidential files);

    + Maintains, updates and reviews reference materials and manuals.

    + CORRESPONDENCE:

    + Composes complex letters and/or memoranda, etc. (e.g., explaining department practices/policies) for own or supervisor's signature.

    + REPORT WRITING:

    + Compiles information from a variety of sources and prepares narrative or statistical reports, exercising judgment in the selection of items to be included.

    + INTERPERSONAL:

    + Greets and directs visitors;

    + Answers phones and screens incoming calls;

    + Provides advice to callers regarding policy and procedures (e.g., citing a regulation to solve a specific problem);

    + Coordinates with others both within and outside of the organization on a variety of non-routine matters.

    + PROCESSING:

    + Screens letters, memos, reports and other materials to determine action required;

    + May make recommendations to the supervisor.

    + SECRETARY:

    + Arranges and coordinates meetings (including space and equipment);

    + Researches, assembles and coordinates meeting materials (e.g., charts, graphs, reports);

    + OFFICE MANAGEMENT:

    + Maintains an inventory of supplies and equipment;

    + Completes, processes and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);

    + Maintains time and attendance records;

    + Assists in preparing and monitoring the office budget (e.g., compiles figures, reviews statistical reports, verifies expense items);

    + Designs and initiates new forms and procedures to facilitate workflow;

    + Performs related duties as required.

    KNOWLEDGE, SKILL AND ABILITY

    + Considerable knowledge of

    + office systems and procedures;

    MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

    Three (3) years of experience above the routine clerk level in office support or secretarial work.

    MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

    One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.

    MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

    College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

    PREFERRED QUALIFICATIONS

    + Experience working in a hospital, urgent care center, clinic, or medical office;

    + Experience maintaining health records in accordance with HIPAA and other confidential documents;

    + Experience with Microsoft Word, creating letters, agendas, memos, and other business communications;

    + Experience with Microsoft Excel, creating spreadsheets, utilizing formulas, functions, and filters;

    + Experience with Microsoft Teams, scheduling and participating in meetings;

    + Experience in completing work while under the restraints of deadlines;

    + Experience supporting multiple health disciplines, units and varying leadership roles;

    + Experience accurately inputting and managing data and using databases to generate reports;

    + Experience maintaining paper and digital files, including organizing, tracking, and storing files;

    + Experience proofreading documents for grammatical errors;

    + Experience working in a confidential environment;

    + Experience with high volume data entry;

    + Experience with Kronos/UKG or another time and attendance software products.
