About the role:
Seeking a talented, organized, motivated and entrepreneurial Executive Assistant to support members of Liquid I.V.’s leadership team. Our ideal candidate possesses a minimum of 5-7 years' administrative experience supporting executives (VP or above), excellent written/verbal communication skills, a high-level of attention to detail and a "can-do" attitude!
The ideal candidate will have superb written, organizational and communication skills, give 100% commitment to helping create a dynamic team environment, have strong attention to detail, be a self-motivator/proactive, problem solver and a quick learner. Must be comfortable working in a fast-paced environment and supporting multiple senior executives.
Functions and duties of this role include, but not limited to:
+ Provide day-to-day admin support to the executives through calendar management, travel booking and expense management, note-taking, meeting preparation and follow-up, and other ad hoc duties as requested by the executives.
+ Assist with creating and drafting content for emails, agendas, and presentations.
+ Own creation of departmental monthly and weekly LT meeting decks and provide follow-up for C-Suite Leader
+ Support the Purchase Order processes for the departments.
+ Assist in the planning and execution of team offsites and in-office meetings.
+ Participate in organizational activities such as managing end-to-end external executive events, senior leadership agendas, and interacting with key external stakeholders.
+ Own creation and submission of departmental purchase orders via D365 in partnership with Finance.
+ Partner closely with the EA Support team to create a seamless support system for C-Suite and provide backup on an as needed basis.
+ Excellent professional demeanor with the ability to work with a wide range of levels and management.
+ Ensure executives can represent the organization at high-impact conferences and trade shows within the sales and entertainment industries by managing calendars with foresight and minimizing disruption to core responsibilities.
+ Manage travel and expense (T&E) reporting for executives, while overseeing support-related charges across teams to ensure accuracy and timely reconciliation.
+ Manage vendor SOWs and payment workflows, ensuring accuracy, timeliness, and adherence to agreed-upon deliverables and financial commitments.
+ Exercise sound judgment in managing cross-functional scheduling demands between Liquid I.V. and Unilever’s greater Wellbeing Collective, aligning calendars with organizational goals

The successful candidate will have the following qualifications:
+ 5+ years of relevant experience supporting senior-level executives in a high-growth environment.
+ Strong work ethic, exhibits positivity, professionalism, confidentiality, and good judgment.
+ Proactive and takes initiative to get things done.
+ Team player who is willing to step in and help where needed.
+ Incredibly organized and resourceful. You can juggle and multitask, with acute attention to detail and follow through.
+ Excellent verbal and written communication.
+ Ability to navigate and thrive in ambiguity.
+ Tech savvy skills with a preference for experience creating presentations and other materials.
+ Strong proficiency with Microsoft Office.
+ Ability to remain calm and poised under pressure.

The compensation band for this position is $73,800 - 110,800 annually. The exact salary is determined by various factors including experience, skills, education, geographic location, internal company equity, and budget. The listed range is applicable only to the annual base salary and does not include additional perks, benefits, or applicable bonus eligibility comprising the total compensation package.
