    Job Title: **Digital** **Sample** **Coordinator**

    Job Summary:

    The Digital Sample Coordinator is responsible for managing the flow of product samples and digital content between the company and its vendors to support e-commerce initiatives. This role ensures timely collection, organization, and processing of product data and samples to facilitate online merchandising. This role is critical to ensure accurate, complete, and timely product information is available across our e-commerce platforms. The ideal candidate will have strong communication skills, is detail-oriented, highly organized, and comfortable handling data, and have experience working with Digital Asset Management (DAM) or Product Information Management (PIM) systems.

    Key Responsibilities:

    Vendor Communication:

    + Email vendors to request product samples, images, descriptions, and other essential product data.

    + Follow up with vendors to ensure timely submission of required information.

    Sample & Data Processing:

    + Receive and process product samples and/or images and merchandise information forms.

    + Coordinate with internal teams to ensure samples are reviewed and categorized appropriately.

    + Coordinate with PSC (Prototype Store Coordinator) & Photography teams on event SKU samples for photoshoots.

    Digital Asset & Product Information Management:

    + Upload and organize product assets and attributes using a DAM/PIM software.

    + Ensure all digital content meets internal quality standards and brand guidelines.

    + Work with Off-Shore team to upload

    SKU Management & Data Analysis:

    + Use Microsoft Excel to format and analyze SKU lists from Category Merchants.

    + Use 3rd Party Syndication Platforms to acquire images and essential product data.

    + Prepare and send SKU lists to vendors for confirmation and onboarding.

    + Track SKU onboarding progress and maintain accurate records.

    + Utilize internal MMS for additional product information, vendor records.

    Customer Service Support

    + Communicate through Email with the Customer Support team regarding any website related issues that are presented.

    + Take steps to correct any issues presented by requesting samples/images from vendor along with any other essential product data.

    Qualifications:

    + Proven experience in e-commerce operations, product onboarding, or merchandising support.

    + Proficiency in Microsoft Excel (xlookup, pivot tables, data cleaning).

    + Experience with Adobe Photoshop preferred.

    + Experience with DAM and/or PIM systems preferred.

    + Strong organizational and time management skills.

    + Excellent written and verbal communication skills.

    + Ability to work independently and cross-functionally with vendors and internal teams.

    Preferred Experience:

    + Familiarity with retail or wholesale product data standards.

    + Experience with platforms like Salsify or Syndigo or similar PIM/DAM tools.

    + Background in merchandising, buying, or digital catalog management is a plus.
