+ High school diploma or equivalent.
+ Three years of increasingly responsible administrative experience.
+ Proficiency with office productivity software (e.g., Microsoft Office, email, database entry).
Preferred Qualifications
+ Bachelor’s Degree.
+ Experience working in a higher education setting.
+ Familiarity with Texas State University systems (e.g., PeopleAdmin, SAP , Banner, CourseLeaf, Canvas, BDMS , 25Live)
+ Experience coordinating academic courses, programs, or events.
Job Description
The Administrative Assistant II provides comprehensive administrative support for the coordination, delivery, and operations of the TXST 1100 course at Texas State University. Reporting to the Associate Vice President ( AVP ) of Academic Advising and Transitions, this position works in partnership with the TXST 1100 Program Manager to ensures smooth course administration, faculty support, and compliance with institutional and state requirements. The role requires strong organizational, communication, and technical skills to manage multiple priorities, processes, and partnerships across campus.
Job Duties
Faculty & Course Administration
+ Manage TXST 1100 waiver applications and exemption processes, including documentation management in BDMS and entry into Degree Audit.
+ Process administrative course change paperwork each semester.
+ Schedule faculty teaching assignments for TXST 1100 each term.
+ Coordinate new faculty hiring through PeopleAdmin, HireRight, and SAP .
+ Prepare and process per-course faculty contracts and Personnel Change Requests (PCRs) for teaching faculty, mentors, and interns.
+ Distribute faculty contracts and collect signatures each semester.
+ Ensure all faculty are listed as instructors of record in Banner; coordinate new faculty system access.
+ Process DTA (Departmental Teaching Assistant) paperwork in collaboration with the College of Education.
+ Submit parking requests for per-course faculty each semester.
+ Review and process course overrides for TXST 1100 sections as needed.
+ Manage and update TXST 1100 scheduling in CourseLeaf CLSS , including online section creation requests.
Instructional & Academic Support
+ Assist with syllabus collection and HB 2504 compliance and archiving each semester.
+ Maintain and update the TXST 1100 website.
+ Order and coordinate delivery, pickup, and storage of First-Year Experience guides.
+ Support grade appeal requests through Qualtrics.
+ Provide front-line student support with course registration questions, both in-person and over the phone.
+ Coordinate classroom assignments via 25Live and serve as first contact for faculty classroom needs.
Event & Program Coordination
+ Plan and support faculty development workshops, advisory committee meetings, and other TXST 1100 faculty meetings.
+ Coordinate Glass Bottom Boat tours with the Meadows Center, including scheduling, flyers, invoicing, and attendance tracking.
Budget & Operations
+ Track TXST 1100 program budget, reconcile expenses, and support fiscal reporting.
+ Manage office supply inventory and faculty supply requests.
Knowledge of:
+ Microsoft Office programs, including Word, Excel, and PowerPoint.
+ 25Live, CourseLeaf ( CLSS ), Canvas, and other institutional systems.
+ Banner, BDMS , DegreeWorks, and other institutional student information systems.
+ SAP , Qualtrics, and other university systems.
+ University administrative procedures and compliance processes.
Skills in:
+ Professional and appropriate communication to a variety of constituents (i.e., students, faculty, staff, and parents).
Ability to:
+ Work independently and collaboratively with faculty, staff, and students.
+ Support student success and faculty engagement.
+ Provide clear, concise written and verbal information.
+ Organize and prioritize work with attention to detail and accuracy.
+ Manage sensitive information with discretion.
