A Brief Overview
The Branch Facilities Coordinator is responsible for overseeing the day-to-day operations, maintenance, and safety of assigned branch locations. This role ensures that facilities are well-maintained, compliant with regulations, and provides a productive and secure environment for employees and customers. The Branch Facilities Coordinator supports the operational integrity, safety, and maintenance of branch locations. This role ensures that all facilities are functioning optimally, compliant with regulations, and aligned with corporate standards. The coordinator serves as a key liaison between branch staff, vendors, and corporate facilities teams.
What you’ll do
+ Serve as the primary point of contact for branch staff regarding facility issues.
+ Collaborate with internal departments and external vendors to resolve facility concerns.
+ Respond to urgent maintenance requests and ensure timely resolution.
+ Coordinate routine maintenance, repairs, and inspections of branch facilities.
+ Maintain service logs and ensure documentation of all maintenance activities.
+ Manage vendor relationships for cleaning, HVAC, electrical, plumbing, and other related services.
+ Monitor and report on facility conditions and improvement needs.
+ Maintain accurate records of facility assets and equipment.
+ Assist with space planning and branch layout optimization.
+ Support moves, additions, and changes within branches.
+ Assist in budget planning and cost control for facility-related expenses.
+ Assist with purchase orders and invoices for facility services and supplies.
+ Support seasonal maintenance planning (e.g., hurricane preparedness, etc.).
+ Ensure service level agreements (SLAs) and quality standards are met.
+ Conduct regular site visits to verify completion and quality of work.
+ Coordinate deliveries, installations, and removal of obsolete equipment.
+ Support branch openings, closures, relocations, and renovations.
+ Monitor energy usage and identify opportunities for efficiency improvements.
+ Ensure compliance with ADA, OSHA, and other applicable regulations.
+ Provide regular updates to management on facility status and project progress.
+ Maintain a centralized issue tracking system for branch facility requests. Make sure all tickets are registered in the approved system.
+ Work together with the Branch Facilities Manager to streamline processes and facility services execution.
+ Works with the Branch Facilities Manager in tracking and reporting on critical deliverables and their timely execution.
+ Makes recommendation to General Services Manager about alternatives and possibilities related to construction and remodeling.
+ Provides a cost estimate for all facility-related projects activities for approval.
+ Vendor Management: Liaise with external vendors and service providers to ensure timely and cost-effective services.
+ Follows all Bank Policies and general Engineering and architecture guidelines and standard practices.
Other Responsibilities
+ Participates in special projects as requested.
What You’ll Need to Succeed
• A Bachelor’s degree in Engineering or related field and two to six years of similar experience are required for this job.
• Computer acquaintance
• Write, speak, and comprehend English and Spanish.
• Teamwork oriented
• Exhibit strong levers of organization, communication, and leadership.
• Ability to communicate effectively in oral and written forms and possess fast problem resolution skills.
• Ability to write routine reports and correspondence.
• Ability to facilitate team meetings and handle project conflicts within and outside of the team.
