    The School of Dentistry has an outstanding opportunity for a Graduate Prosthodontics Clinic Manager (Patient Services Specialist Supv (NE S SEIU 925 Supv)) to join their team.

     

    The Department of Restorative Dentistry at the School of Dentistry is the largest teaching department encompassing 60% of the pre-doctoral curriculum. The Department strives for teaching excellence in the areas of Dental Material Sciences, Operative Dentistry, Occlusion, Dental Anatomy, Implant Dentistry, and Removable and Fixed Prosthodontics. The Department also has an internationally recognized Graduate Prosthodontics Program offering an MSD and certificate in Prosthodontics. We are a vibrant academic department working collaboratively to support the teaching mission of the School as well as the current SOD Strategic Plan: Advancing Oral Health for All. We are also committed to building and sustaining an inclusive and equitable working and learning environments for all students, staff, and faculty.

     

    The Patient Services Specialist Supervisor, also known as the Graduate Prosthodontics Clinic Manager, reports directly to the Director of the Graduate Prosthodontics Program and the Restorative Dentistry Administrator in the School of Dentistry. This individual is responsible for coordinating patient treatment for post-doctoral students, monitoring student progress in relation to patient care, managing clinic operations, overseeing patient financial contracts, financial management, patient relations, and supervising clinical staff. The Clinic Manager also serves as the point of contact for patients and performs front-desk duties for the clinic.

     

    The Graduate Prosthodontics Clinic Manager regularly collaborates with the Graduate Program Director, Department Administrator, and other departments within the school to implement institutional policies and procedures, as well as assisting in developing program-specific policies and procedures to improve clinic operations and patient care

    DUTIES AND RESPONSIBILITIES

    50% Financial Management:

    + Monitor clinic production/revenue in AxiUm and review data monthly with Program Director.

    + Advise patients and students on contract policies.

    + Manage, maintain and audit patient contracts and accounts to ensure accurate treatment charges are entered in Axium and proper allocation of contract payments to the corresponding treatment procedures.

    + Track patient treatment phases to ensure alignment with contract payment schedule.

    + Investigate and resolve misallocations of contract payments.

    + Process payments, deposits, and initiate refund requests.

    + Serve as the clinic ProCard cardholder for ordering teeth and implant parts; reconcile monthly ProCard purchases in Workday and allocate expenses to appropriate worktag and spend categories. Ensure compliance with departmental, institutional and/or granting agency policies and regulations.

    + Review contract policies with patients and address any inquiries or concerns.

    + Inform patients of upcoming contract payment prior to next treatment phase and ensure timely collection.

    + Address patient complaints and determine appropriate resolutions to ensure a positive patient experience.

    + Resolve billing and payment inquiries and determine appropriate referrals.

    + Perform related duties as required.

    25% Clinic Operations Management:

    + Manage patient referrals, case assignments, weekly resident chart reviews, and monitor treatment progress.

    + Track inventory usage and approve supply orders to ensure adequate supply levels.

    + Prepare quarterly reports for review with Program Director on student academic progress including clinic production, revenue collected, treatment progress, and number and types of cases managed, case completion, faculty assessment of students’ technical skills, patient management, and professionalism. Identify areas where students need additional patients or support to achieve clinical requirements.

    + Follow up on “incomplete treatments” on a daily basis to ensure timely entries of treatment data in Axium

    + Develop and implement clinical policies to support efficient operations including digital workflow enhancements, optimization of patient scheduling, reduction of no-show rates, in collaboration with program director and students.

    + Answer incoming calls, manage patient appointment check-in and check-out; direct patient traffic and escort as necessary; manage provider schedules in AxiUm when clinic is closed or when there is no faculty coverage.

    + Secure gold inventory in locked safe. Manage and maintain detailed records/logs of gold utilization including dispensing, weighing returned gold and casting; initiate orders as necessary to maintain appropriate inventory level; ensure compliance with School of Dentistry policies for gold management

    + Ensure compliance with school-wide policies and regulations related to safety, health, dental protocols, training requirements, billing, incident/accident reporting, etc. (i.e. OSHA/WISHA), HIPAA, OARS, gold issuance, billing, etc).

    + Prepare, coordinate and conduct program orientations for staff, new students, teaching faculty, and observers including Health and Safety procedures, HIPAA compliance, Axuim, and clinic protocols.

    25% Clinic Staff Management:

    + Supervise, assign, and schedule work responsibilities to maintain adequate coverage.

    + Establish work priorities and ensure deadlines are met.

    + Hire, train, conduct performance evaluations and recommend disciplinary actions.

    + Oversee and approve leave requests and timekeeping records in Workday.

    MINIMUM REQUIREMENTS

    + Bachelor’s Degree in a medically related or public relations field AND Four years of experience as a Patient Services Specialist

    + OR High School graduation or equivalent and four years experience as a Patient Services Specialist and a UW Supervisory Skill Certificate

    Compensation, Benefits and Position Details

    Pay Range Minimum:

    $56,508.00 annual

    Pay Range Maximum:

    $80,820.00 annual
