    General Summary

    Under general direction of the Assistant Director, Planning Operations, assist in preparing and coordinating staff schedules for the various areas of Donor Services to include Mobile Operations, Fixed Sites, and the Victoria Facilities’ Donor Services department.

    Provide world class customer service by capturing and being responsive to the voice of the customer (internal or external, including donors for select positions) through multiple feedback channels in order to resolve issues and drive satisfaction in accordance with the BBG customer engagement, feedback, and complaint processes.

     

    Major Duties and Responsibilities

    Essential Tasks

    Assist with the preparation of the weekly schedule to ensure efficient staffing of Donor Services employees assigned to Mobile Operations, Fixed Sites, and the Victoria Facility including staff assignments for training programs, competency testing, and other required assignments.

     

    Respond appropriately to situations like absenteeism, greater than expected donor turnout, or other unforeseen circumstances to ensure timely, efficient changes in staffing requirements.

     

    Analyze staffing needs and determine optimum staffing levels for daily operations.

     

    Prepare appropriate reports for management review to include DaSH Rate analysis and opportunities for improvement (i.e. cost savings, improvement in service delivery, and staff quality of life).

     

    Be able to articulate rationale for “last minute” staff assignment to various audiences based on expected business outcome of operations.

     

    Answer phone calls received in the staffing office.

     

    Consistently responding appropriately—exhibiting courtesy and dialogue facilitating effective problem resolution.

     

    Will need to appropriately negotiate staff requests (Donor Recruitment and Donor Services) in what can be stressful situations given inherent competing interests among sales/production/personal preferences.

     

    Timely and effective decisions must be professionally communicated to all parties, involving supervisor(s) when appropriate.

     

    Prepare and maintain accurate records and reports.

     

    Compile and disseminate data required for the verification and processing of employee time for payroll and

     

    attendance purposes.

     

    Maintain a courteous and professional relationship with internal/external customers, co‐workers, and management.

     

    Maintain a close working relationship with Donor Services and Donor Recruitment management.

     

    Attend meetings and training programs as required.

     

    Performs other duties as assigned.

    Non‐Essential Tasks

    Run departmental errands as directed.

    Education

    Requires a high school diploma or general equivalency diploma.

    Experience

    Requires three or more years of clerical training or related experience.

     

    Requires experience in coordinating and negotiating cross functional departmental agendas and schedules.

     

    Prefer blood center experience.

     

    Knowledge

     

    Must acquire a knowledge of all staffing policies and requirements.

     

    Must maintain knowledge of and perform according to Standard Operating Procedures (SOPs) and policies.

     

    Skills

     

    Must be capable of accurately entering data into the computerized staffing program.

     

    Must have strong computer skills.

     

    Must be able to print and write legibly.

     

    Abilities

     

    Must be able to keep information confidential.

     

    Must be able to make decisions based on predetermined criteria.

     

    Must be neat in appearance and well groomed.

     

    Must be professional, detail oriented, self‐motivated, innovative, creative, assertive, organized, communicative, and have the ability to work independently.

     

    Must maintain good working rapport with all departments.
