    Description

    Summary:

    The Organ Operations Manager provides oversight, training, and performance support for the Donor Operations Center with a focus on organ donor referrals, thoracic and abdominal organ allocation, and UNOS reporting. This individual manages shift coverage based on training and competency needs, ensures data integrity, and contributes to the continuous improvement of organ operations workflows. Acts as a subject matter expert for allocation processes and plays a key role in maintaining regulatory compliance.

     

    Additionally, the Organ Operations Manager oversees the intake and triage of new organ and tissue referrals and ensures staff are properly trained to handle these responsibilities accurately and efficiently.

     

    The Organ Operations Manager provides shift coverage as needed to support team operations and may assume Administrator-on-Call (AOC) responsibilities.

    Essential Duties & Responsibilities :

    Training and Development

     

    + Develops and implements standardized training materials, SOPs, and resources.

    + Trains new employees (ROC/TOC/OOC) on intake referrals, chart documentation, registry checks, coroner notifications

    + Trains new employees (OOC) on case updates, and allocation processes (research, abdominal, and thoracic as applicable).

    + Provides ongoing education and re-training to existing staff to ensure consistent application of SHSC and OPTN/UNOS standards.

    + Maintains real-time communication with the Director on employee training progress, needs, and performance gaps.

    + Coordinates onboarding and participates in interviews for new hires.

    + Fosters a culture of professional growth, accountability, and excellence.

     

    Organ Allocation and UNOS Reporting

     

    + Leads allocation efforts, including oversight of match runs, center communication, and documentation.

    + Ensures compliance with UNOS policies and reporting requirements.

    + Collaborates with transplant centers and internal stakeholders to troubleshoot allocation issues in real-time.

    + Provides mentorship and decision-making support to team members handling allocation.

    + Serves as primary point of contact for training staff on allocation-related responsibilities.

    + Completes and reviews all required UNOS reports, ensuring timely submission and data accuracy.

     

    Operational Leadership

     

    + Facilitates day-to-day operations within the Donor Operations Center.

    + Creates and manages staffing schedules that reflect training requirements and competency-based coverage.

    + Oversees team performance through annual reviews, coaching, and ongoing feedback.

    + Partners with the Director in workforce planning, including recruiting, interviewing, hiring, and onboarding new staff.

    + Contributes to departmental budget planning and monitors operational expenses to ensure alignment with organizational goals.

    + Collaborates with the Director to identify performance challenges and implement solutions.

    + Participates in departmental and cross-functional meetings to align goals and operational strategies.

    + Tracks and reports key performance metrics; creates individual development plans as needed

    + Assists in internal audits, quality improvement initiatives, and adverse event reviews.

    + Perform other duties as assigned, demonstrating flexibility and a commitment to the overall success and efficiency of the Ops Center .

    Qualifications

    + BA/BS in healthcare, life sciences, or related field (or equivalent work experience).

    + 3+ years of Organ Allocation Experience

    + Experience working in an organ and tissue recovery environment; OPO or transplant coordination experience strongly preferred.

    + Familiarity with UNOS/OPTN policies and systems.

    + Experience with training, coaching, or leading a clinical/operational team.
