Job Summary: Coordinates and oversees all procedure scheduling functions from a CaroMont Medical Group clinic to applicable procedural areas such as CRMC, COPS, and CSS. Ensures, organizes, and maintains active, accurate, and operational procedure schedules. Ensures accuracy and updates the patient’s insurance and demographic information, schedules procedures from the provider’s office using established guidelines, and ensures sufficient information is distributed to the patients and all necessary parties including but not limited to: hospital departments, primary care providers, cardiologists, surgeons, Advanced Practice Providers, and vendors through productive open communication. Responsible for keeping meticulous records in conjunction with providers, nursing, and procedural hospital areas related to procedure appointments, scheduling, and rescheduling. Provides excellent customer service both in-person and over the phone, schedules appointments independently and/or with centralized scheduling. Obtains referrals and prior-authorizations as needed and performs other clerical duties as assigned.
Qualifications: High school diploma or equivalent required with at least 3 years medical office experience. Computer experience required. Customer service experience required. Must demonstrate abilities and skills to provide excellent customer service. Must possess excellent communication skills as well as knowledge of medical practice operations. Requires interpersonal skills necessary to function as liaison between providers, office staff, patients and patient’s family members. Requires the ability to read, write, follow oral and written instructions, perform mathematical calculations and communicate effectively with patients, co-workers, and service representatives from the area hospitals and insurance providers. Must be able to handle a fast-paced environment in a confident professional manner. Must be a self-motivator, possessing a high level of judgment skills an initiative, along with ability to prioritize and coordinate several tasks simultaneously, while retaining a confident, knowledgeable and helpful demeanor. Must have the ability to listen compassionately demonstrating effective problem-solving and critical-thinking techniques to areas of concern to patients and employees without appearing judgmental is essential. Requires understanding of and the ability to maintain strict patient confidentiality.
