Summary
The Executive Assistant will provide high-level administrative support to the VP of US Fleet Mobility, as well as the Fleet Senior Leadership Team as needed. This role requires exceptional organizational skills, discretion, and professionalism in handling sensitive information and managing complex schedules, communications, and logistics. The Executive Assistant serves as a key liaison internally and externally, ensuring smooth operations and effective support across departments. This job description is intended to provide an overview of the position and does not include all the tasks that might be required to provide support for your area job requirements.
Duties and Responsibilities
+ Serve as the primary point of contact for the VP US Fleet Mobility, maintaining a high level of confidentiality and professionalism.
+ Manage complex calendars, ensuring alignment with priorities and commitments; proactively adjust schedules based on emerging needs.
+ Coordinate and execute meetings and events (internal and external), including logistics, agendas, minutes, and follow-ups.
+ Plan and manage domestic and international travel arrangements end-to-end, anticipating all logistical needs.
+ Prepare and reconcile expense reports for timely processing.
+ Create, format, and proofread reports, presentations, letters, and other communications.
+ Maintain and organize Teams sites and document storage systems; develop and enforce related policies and procedures.
+ Screen and manage incoming communications, using judgment to prioritize and respond appropriately, as well as monitoring the need to follow up on matters where it is necessary.
+ Support project needs of senior leadership, including composing materials and tracking responses.
+ Represent executives in a professional manner, communicating effectively with internal teams, board members, and external partners.
+ Perform cost tracking and administrative analysis as needed.
+ Supervise clerical support (e.g., reception) when required.
+ Perform non-routine administrative tasks and other duties as assigned.
Qualifications
+ High school diploma required.
+ Minimum of 8 years of relevant experience, including at least 5 years supporting senior executives.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Strong organizational and time management skills; able to manage multiple priorities with flexibility.
+ Detail-oriented, dependable, and proactive in anticipating executive needs.
+ Demonstrated ability to maintain confidentiality and exercise sound judgment.
+ Professional presence with excellent communication and interpersonal skills.
+ High sense of urgency and ability to work independently.

Pay Range
$65,000.00 - 87,000.00 annually - A pay range listed reflects the potential pay for this role. The pay will depend on various factors, such as responsibilities of the position, job duties/requirements, and relevant experience and skills. Not all positions posted will have a pay range listed.

Working Conditions / Physical Requirements
In this role, the employee is continuously sitting and typing, frequently talking and using eye and hand coordination and may also be required to climb or balance; stoop, kneel, crouch or crawl. The employee is occasionally required to lift and/or move objects. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
