Are you a powerhouse of organization, discretion, and poise under pressure? The University of Vermont’s University Housing & Dining Services ( UHDS ) is seeking an Assistant to the Executive Director — a pivotal role for an experienced professional who thrives in fast-paced, high-stakes environments.
This is more than just a calendar-wrangling or inbox-triage job. We’re looking for someone who has built a career supporting senior executives — someone who understands the nuances of executive leadership, anticipates needs before they’re spoken, and can distinguish what truly requires attention from what can wait. Your judgment, sense of urgency, and ability to read the room will be essential.
The ideal candidate will:
+ Command a dynamic and often unpredictable calendar with precision.
+ Exercise exceptional judgment and discretion when handling sensitive personnel, legal, and strategic matters.
+ Serve as the Executive Director’s right hand — organizing priorities, tracking action items, and ensuring no detail falls through the cracks.
+ Be unflappable under pressure, able to manage competing demands while keeping everything (and everyone) moving forward.
+ Collaborate across a large and complex university ecosystem, communicating clearly and diplomatically with a wide range of stakeholders.

Minimum Qualifications (or equivalent combination of education and experience)
+ Bachelor’s degree in a relevant field or an equivalent combination of education and 3 to 5 years of progressively responsible executive support experience in complex, fast-paced environments — preferably in higher education, healthcare, nonprofit leadership, or corporate executive offices.
+ Demonstrated ability to manage shifting priorities, navigate ambiguity, and maintain professionalism, discretion, and sound judgment in high-pressure situations.
+ Exceptional organizational and administrative skills, with a proven ability to manage complex calendars, multiple competing demands, and time-sensitive priorities with precision and follow-through.
+ Excellent written and verbal communication skills, with an emphasis on clarity, tone, and responsiveness across diverse audiences.
+ Strong attention to detail, with the ability to anticipate needs, troubleshoot problems, and ensure nothing falls through the cracks.
+ Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint, Teams), and the ability to quickly adapt to new platforms (e.g., Drupal, Adobe Acrobat, Slate).
+ Commitment to multicultural humility, equity, and inclusion, with experience supporting inclusive practices in professional settings.
Desirable Qualifications
5 to 10 years of execuitive assistance experience
Anticipated Pay Range $26-$30/hour
Other Information
Flexibility to work irregular hours, including evenings and weekends, to accommodate events and critical departmental needs
This is a fast-paced, often chaotic environment, supporting a senior-level executive with competing demands and high-stakes responsibilities.
Special Conditions Occasional evening and/or weekends required (if non-exempt position, may result in overtime), A probationary period may be required, A probationary period may be required for current UVM employees, Background Check required for this position
