    CORE JOB FUNCTIONS

    + Coordinates bi-weekly meetings for the President & CEO and executive leadership team, including agenda development, room setup, and documentation of outcomes.

    + Collaborates with internal stakeholders to gather input and prioritize agenda topics that support organizational goals.

    + Assists in the development of presentations and supporting materials for board and executive meetings, ensuring clarity and relevance.

    + Reviews and edits materials for accuracy and completeness to support informed discussions.

    + Provides regular updates to leadership on the status of meeting materials and timelines.

    + Maintains organized and secure documentation for all board-related materials, applying best practices in document management.

    + Oversees the board communication platform, ensuring timely and accurate uploading of materials and ease of access for board members.

    + Coordinates logistics for board meetings in partnership with the board office and technology teams, ensuring all systems are functional and presentation materials are optimized.

    + Supports communication and coordination efforts to ensure smooth execution of board-related activities.

    + Manages day-of meeting operations, including presentation support, distribution of materials, and note-taking for follow-up tracking.

    + Tracks and documents follow-up actions from meetings, ensuring accountability and timely updates to leadership.

    + Supports integration of board discussions with ongoing projects and initiatives to maintain strategic alignment.

    + Assists in preparing presentation content for University governance forums such as Faculty Senate and Student Organizations.

    + Contributes to process improvement efforts related to board and governance operations.

    + Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

    CORE QUALIFICATIONSEducation:Bachelor’s degree in relevant field; Advanced degree (MBA or other) preferred

    Experience:

    Minimum of 5 years of relevant experience (e.g. Chief of Staff, Board Liaison, Project Manager, etc.); Consulting experience at a top 20 consulting firm highly preferred.

    Knowledge, Skills and Attitudes:

    + Strategic Alignment: Skilled in aligning departmental goals with enterprise-wide strategy and develops comprehensive strategic plans.

    + Financial Management: Ensures fiscal responsibility, and optimization of financial performance.

    + Resource Management: Ability to allocate resources and drive innovation and growth.

    + Adaptability: Proven ability to adjust to changes and leads/inspires transformational change.

    + Team Leadership: Ability to build and lead high-performing teams, manage complex projects, and ensure successful project delivery.

    + Technology & Analytics: Understanding of technology, data analytics, and performance measurement to drive strategic decisions and identify opportunities.

    + Communication: Ability to influence others, articulate strategic vision, and ensure clear and persuasive communication.

    + Experience in managing complex projects, including setting timelines, coordinating with various stakeholders, and ensuring timely completion of tasks.

    + Ability to work with diverse groups of stakeholders to identify priorities, gather input, and align on goals.

    + Ability to build and maintain effective interpersonal relationships.

    + Strong written and verbal communication skills to effectively update senior leadership and prepare comprehensive materials.

    + Meticulous attention to detail in preparing and reviewing materials, tracking follow-up actions, and ensuring all tasks are completed accurately.

    + Expertise in organizing, maintaining, and securing important documents, with a focus on accuracy and accessibility.

    + Familiarity with board communication platforms and technology used in virtual and in-person meetings, ensuring all tech functions smoothly.

    + Experience in coordinating the logistical aspects of meetings, including scheduling, technology setup, and ensuring all materials are ready and distributed.

    + Understanding of the organization’s strategic goals and the ability to integrate board discussions and follow-ups with ongoing initiatives and projects.

    + Proficiency in computer software (i.e., Microsoft Office).

    + Superior skills in Excel and PowerPoint.

    + Solid experience with data visualization tools for dashboard development and automation.

    + Strong background and knowledge in data analytics and statistical modeling.

    + Ability to work independently and in a collaborative team environment.

    + Ability to perform in and adapt to a dynamic environment.

    + A mindset focused on evaluating and improving processes to enhance efficiency and effectiveness in board governance.
