    State of Idaho Opportunity Business Operations Specialist - Admin Office Full-time (40 hours) - $70,000 - $80,000 annually D.O.E.

     

    The Idaho State Public Defender (SPD) is a newly created state agency which provides trial representation to indigent criminal defendants pursuant to Idaho Code §§ 19-6005, 19-6009 (effective 10/1/24). The SPD is responsible for all indigent defense cases throughout the State of Idaho, including both juveniles and adults.

    POSITION & RESPONSIBILITIES

    The primary purpose of the Business Operations Specialist is to assist with business and administrative functions, projects, and programs that support the Office of the State Public Defender in meeting its core goal: providing zealous , holistic representation .

     

    This is a newly created non-classified position that reports to the Operations Director for SPD functions .

    Example of Duties

    + Supporting the Operations Director with the day-to-day operations of the agency and the implementation of policies and procedures,

    + Providing direct customer service in operations functions to staff, contractors, and agency partners,

    + Written and verbal communication with staff, contractors, agency partners, and stakeholders,

    + Following systems and processes to support staff needs,

    + Assisting Operations Director with all levels of administrative tasks and projects,

    + Coordinating space planning, remodeling , and building maintenance projects as needed ,

    + Assist ing in planning and implementing projects to support SPD operations,

    + Support ing and assist ing in the d evelop ment and implement ation of business and operation processes and procedures,

    + Managing and monitoring contracts ,

    + Maintaining confidentiality of client information and adhering to ethical standards,

    + Utilizing critical problem-solving skills in a fast-paced environment,

    + Provid ing support in ITS projects, including procuring agency inventory, monitoring service tickets , and coordinating requests,

    + Preparing and making oral presentations and developing written recommendations for consideration by management,

    + Maintain ing organized records by overseeing and keeping the SPD shared drive well-structured, ensuring employees have easy access to important documents, shared account credentials, and subscription information in a centralized repository.

    + Ordering , tracking , and delivery through the state’s primary procurement system, and

    + Other duties as assigned.

    M INIMUM QUALIFICATIONS

    + Some knowledge of management practices ,

    + Some experience with project coordination or project management ,

    + Excellent verbal and written communication skills ,

    + Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy ,

    + Excellent organizational skills and attention to detail , and

    + Proficiency with Microsoft Office Suite or related software.

    Preferred Qualifications

    + Experience working with government agencies, non-profits , or business organizations.

    + Experience in monitoring contracts, interpreting and implementing policies, laws, rules, or regulations , and operating procedures.

    + Proficient with or the ability to quickly learn ticketing systems and similar computer applications.

    Physical Requirements

    This position requires the employee:

    + Sits 70% to 95% of a workday ,

    + Lifts, carries, pushes, or pulls items up to 25 pounds ,

    + Uses repetitive motions such as hand-wrist / fingering movements and grasping or reaching 25% to 90% of a workday ,

    + Has normal (or corrected to within normal range) dexterity, tactile feeling, speaking, hearing, and seeing ,

    + Talking and listening 30% to 75% of the workday , and

    + Reading comprehension 40% to 90% of the workday.
