*Description*
*Title:* Office Coordinator - Norwalk Hospital Radiation Therapy - Norwalk, CT - Full time, 40 hours per week, 8 hour shifts 8:00am - 4:30pm, Monday - Friday.
*Summary:*Coordinates front office daily operational responsibilities while performing various functions within the Oncology Management System including but not limited to scheduling appointments, retrieval of appropriate patient medical records, insurance verification, treatment/procedure authorizations and completing patient account registration.
*Responsibilities:*
1. Coordinates daily new patient and follow-up schedules for both physicians following the departmental guidelines.
2. Schedules simulation appointments for patients per physician order & secures appointments for x-rays, CT scans, MRI's and Nuclear scans along with obtaining the appropriate certification when necessary.
3. Assists patients with the pre- registration process for all lab and radiological procedures.
4. Requests and obtains insurance referrals from patients for all necessary appointments prior to patients arrival in the department. Make arrangements for self- pay patients following hospital/departmental policy.
5. Accurately enters all pertinent patient demographic and insurance information into the Oncology Management System prior to patient appointment.
6. Prepares the patients Radiation Oncology chart and has it available for the physician at the time of the consult appointment. Has available all x-rays, nuclear scans, Ct scans and MRI's when patient is being seen in consult or follow-up.Secures lab, pathology and x-ray reports as needed and files in patient's chart.
7. Manage physician's daily schedule and workflow. Assists physician in patient interview and prepping for physical exams, including pelvic exams, H&N exams, etc.
8. Stocks and prepares exam rooms. Obtains patient weight when necessary.
9. Has patient complete the registration process prior to arrival. Completes all registration documentation including ICD9/10 coding and physician signature and enters into Eclipsys filing the original in the patient's radiation chart.
10. Retrieve In-Patient account information and enter into the Oncology Management System. Handles all in/out going mail and department scanning. Keeps all correspondence up to date and filed accordingly in the patients' radiation chart. Maintains an organized file room.
11. Assists with transcription and documents as needed for department daily workflow. Answers the telephone promptly in a professional and courteous manner and directs the calls to the appropriate physician or staff. Takes phone messages and conveys them accordingly.
12. Extends personal concern, understanding, warmth and kindness to all patients. Assists in transporting patients onto treatment tables, exam tables, into bathrooms, etc. Provides patient with urinals, bedpans, emesis basins, etc.
13. Assists patients with coordinating appointments, transportation services, referrals and education.
14. Abides by all hospital and departmental rules and regulations.
15. Performs other duties as assigned.
*Other Information:*
*Required:* High school diploma/GED. Must be familiar with medical terminology, scheduling tests and procedures. Strong knowledge of medical billing and insurance practices. Requires strong communication and organizational skills. Excellent customer service skills, ability to work well with others. Must be able to work well under pressure with a strong ability to multitask in a fast paced environment.
*Preferred:* College degree or equivalent and 1 year medical office experience preferred. Must be able to deal with direct patient contact while providing quality customer service at all times. Very motivated and a high energy level is necessary. Warm and caring with a strong ability to work in a sensitive patient care environment. Multilingual is desired.Minimum Experience: one year
Salary Range: $17.60 - $33.48 Hourly (Pay per years of relative experience)
