    Job Summary

    Michigan Medicine is home to several top-ranked Surgical Residency and Fellowship Programs. Trainees graduate with some of the most robust clinical experiences in the country and contribute to the continued advancement of their field. The Office of Surgical Education (OSE) within the Department of Surgery oversees the broad spectrum administrative components of graduate medical education for the seven residency and twenty-four fellowship programs housed within the Department.

     

    The OSE team is looking to hire a Graduate Medical Education Liaison. This critical role will help to support the daily operations of the Office of Surgical Education, as well as crucial projects surrounding recruitment and credentialing of House Officers. The ideal candidate will have experience credentialing residents and fellows, with a keen eye for detail and organization. They will have excellent communication skills and the ability to effectively collaborate with Program Directors and Faculty. The ability to manage time efficiently and problem solve within the scope of position responsibilities is crucial. The candidate should demonstrate the ability to operate under pressure and strict deadlines set forth by the institution. This role requires someone with initiative, and willingness to learn new skills in the vastly changing landscape of medical education. Must be able to function in a team environment and be willing to collaborate with others.

    Responsibilities*

    House Officer Credentialing:

    + Prepare offer letters for incoming House Officers for surgery-supported programs.

    + Identify required licensing documentation, verify accuracy and validity, load to appropriate tracking platforms.

    + Verify medical skills and knowledge in all trainee letters of recommendation.

    + Track licensing applications for all incoming house officers, including mandatory fingerprinting.

    + Collaborate with the Graduate Medical Education Office to ensure all requirements are met, including mandatory drug screening prior to Residency and Fellowship orientations.

    Recruitment:

    + Collaborate with Program Directors and Program Administrators for surgery-supported programs to identify interview dates for the recruitment cycle each academic year.

    + Query faculty members with each program for interview cycle availability.

    + Build interview schedules for each interview date in the designated platform for each program.

    + Collaborate with program applicants, including inviting them for interview and communicating regarding interview day logistics and/or schedule changes.

    + Run the day-of operations for all program interview days.

    Residency Orientation:

    + Assist in the planning and facilitation of surgery-specific criteria during the annual mandatory intern orientation session.

    Surgical House Officer Wellness Program:

    + Assist in the maintenance of the surgery house officer wellness program, including inventory tracking, ordering, and stocking of the wellness station.

    + Instruct house officers on the laundry process, collaborate with personnel in laundry services in regard to white coat cleaning and distribution.

    Policies and Procedures:

    + Stays abreast of national, institutional, and employment requirements which inform policy and procedure development.

    + Stays abreast of ACGME and CODA accreditation standards, as well as ERAS/NRMP Match Agreement policies.

    VISA's and File Maintenance:

    + Collaborate with programs to facilitate the VISA (J1 & H-1B) process for trainees, when necessary.

    + Assist in the maintenance of the surgery-supported residency and fellowship master files in the Office of Surgical Education.

    + Other duties as assigned.

    Required Qualifications*

    + Associate's Degree or an equivalent combination of education and experience.

    + 2-3 years of administrative office experience

    + Demonstrated strong organizational, attention to detail, and accuracy skill sets.

    + Demonstrated ability to operate with independence

    Desired Qualifications*

    + Bachelor's Degree in a related field ( healthcare administration/ higher education/ business administration)

    + Graduate Medical Education experience preferred with considerable experience in credentialing.

    + Understanding of ACGME and CODA accreditation standards.

    + Experience with Thalamus, RezRATE, and Microsoft Teams.

    + Knowledge of University policies and procedures

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
