    Job Summary

    The Department of Anesthesiology is seeking a highly motivated and organized Administrative Assistant Sr. to join a fast-paced office in the CVC supporting Cardiovascular Services/Critical Care and Cardiothoracic Anesthesia Faculty.

    Responsibilities*

    Provide a full range of administrative support for Cardiovascular Services/Critical Care and Cardiothoracic Anesthesia Faculty. Provide administrative support for overall general office tasks, to include managing calendars, composing correspondence, preparing documents, reports, and presentations, coordinating communications, answering questions and email inquiries, providing telephone support, creating brochures and fliers (print and electronic versions), copying and collating materials, formatting and proofreading documents and managing electronic and hard copy filing systems as needed to support the productivity of the office. Duties will also include coordinating and managing travel arrangements for faculty and visiting scholars, assisting with Chrome River expense reimbursement reports and maintaining CV, copy of licenses and other certifications for faculty. Other administrative duties include fulfilling daily assignments from the administrative manager, ordering supplies, assisting with manuscript formatting and submissions, orientating scholars to Ann Arbor and the University of Michigan, onboarding and acclimating new faculty/fellows and assisting with resolution of problems. This position will also train as a back-up for other office staff and the program administrator of the Critical Care fellowship.

    Required Qualifications*

    + High School diploma or equivalent.

    + Four or more years of progressively complex administrative experience.

    + Must be detail oriented and organized with demonstrated ability to prioritize and multi-task.

    + Outstanding organizational skills with attention to detail and accuracy.

    + Excellent verbal, written, interpersonal communication skills with a strong customer service focus and an ability to communicate effectively (both orally and in writing) with internal and external stakeholders at all levels in the organization.

    + Demonstrated success with managing complex and long-term projects.

    + Strong administrative skills, proficient in advanced Microsoft Outlook, Word, Excel and PowerPoint.

    + Able to schedule appointments using standard e-mail software.

    + Demonstrate ability to manage time, multi-task and use judgement within scope of responsibilities.

    + Must be able to exercise considerable discretion and independent judgement.

    + Ability to perform at a high level within a team setting with a strong willingness to support co-workers and staff.

    + Demonstrated positive work ethic and strong sense of teamwork/problem solving with co-workers.

    Desired Qualifications*

    + Associate or bachelors degree is preferred, or equivalent combination of experience and education

    + Knowledge of University policies and procedures

    + Familiarity with policies and practices of working in a healthcare environment.

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
