Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
+ Assist the department Chair and faculty members in administrative duties
+ Maintain confidential student academic records and make sure that they are filed correctly and updated as needed
+ Use Banner for budgeting, lifting holds, and processing information.
+ Answer office phones and student questions and direct them to other offices, resources, or the proper person.
+ Work with and provide information needed by the ASTATE Online program and the degree centers on departmental courses, events and activities.
+ Assist AOS and Traditional academic advisors, as needed.
+ Play a major role in the planning and execution of events such as senior preview days, annual honors banquet and similar related events.
+ Assist with alumni surveys and data entry.
+ Maintain a working master schedule of courses and run daily enrollment reports.
+ Hire, train, and supervise work-study students.
+ Maintain and update the departmental website
+ Other duties as assigned
Knowledge/Skills/Abilities:
General office management skills.
Knowledge of computers and software applications, with a level of proficiency in MS Word, Outlook, PowerPoint, and Excel.
Knowledge of the principles and practices of mathematics and statistics.
Knowledge of research and analysis techniques and methods.
Knowledge of work-related subject areas.
Ability to prepare, present, and review oral and written information and reports.
Ability to research and analyze related work program information.
Ability to develop, recommend, interpret, and apply policies and procedures.
Ability to analyze financial records and prepare reports.
Ability to plan, organize, and direct the work of others.
Additional skills: time management, prioritization, organization (paper and digital), critical thinking.
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of specialized training in Office Management, Business Management, Business Education, or a related field
Two (2) years of experience in specialized or a related field applicable to work performed
Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
