Scope of Job
Coordinates the administration of personnel processes at the School of Podiatric Medicine, exercising independent judgment and authority as required. Responsible for the development, processing, and maintenance of institutional forms and records. Contributes to administrative coordination across all areas of the School of Podiatric Medicine.
Description of Duties
+ Organizes the issuance of Memorandums of Appointment in collaboration with the Department Chair and Administrator.
+ Assists with the recruitment and onboarding of all staff positions in the school.
+ Collaborates with the Department Chair and Human Resources on faculty recruitment and onboarding or any other HR matters.
+ Coordinates the management of all personnel files for the school.
+ Coordinates with various institutional departments on the development of policies and procedures.
+ Reviews and coordinates administrative process development and improvement.
+ Maintains and submits credentials and validation documentation to the appropriate entities.
+ Compiles and maintains records for faculty and staff.
+ Processes and tracks institutional forms for the onboarding and maintenance of personnel records to include full-time and part-time faculty, staff and students.
+ Coordinates with external physicians to onboard as community faculty.
+ Distributes documentation and information to internal and external parties as needed.
+ Coordinates school-wide administrative functions.
+ Participates in the planning and execution of school events.
+ Coordinates administrative projects as assigned.
+ Performs other duties as assigned.

Required Education
Bachelor’s degree in a related field from an accredited university

Required Experience
+ Three (3) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
+ One (1) year of the required experience with a Master’s degree, or
+ Five (5) years of the required experience with an Associate Degree or 60 hours of College Credit, or
+ Seven (7) years of the required experience with a High School Diploma or equivalent.

Working Conditions
Needs to be able to successfully perform all required duties. Work is performed primarily in a general office environment. Some travel and weekend work is required. Must be able to move between buildings, offices and classrooms. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.

Ability to interact in a professional manner with faculty, staff, students, and the public. Excellent verbal and written communication skills. Demonstrated interpersonal skills. High level of skills needed in general office applications and digital file management. Independent decision-making and problem-solving ability. Must demonstrate effective project promotion skills, and, the ability to develop and maintain strong working relations with internal and external agencies and entities.
