What You Will Do:
+ Coordinate and Schedule Aircraft Operations: Plan and organize all company aircraft flights, including arranging catering, ground transportation, and accommodations per trip requirements.
+ Logistics Management: Oversee all logistical aspects of flight operations to ensure seamless execution and exceptional service for passengers and crew.
+ Maintenance Collaboration: Work directly with the maintenance team to verify aircraft availability and readiness for scheduled operations.
+ Flight Scheduling & Charter Requests: Manage and oversee all flight schedules and respond to charter requests, balancing efficiency and cost-effectiveness.
+ Contingency Planning: Develop and implement contingency plans to address mechanical issues or weather-related delays, minimizing disruptions to operations.
+ Executive Travel Coordination: Oversee travel arrangements for company executives, including both company aircraft and charter alternatives as needed.
+ Compliance & Duty Time Management: Maintain and update aircraft and crew schedules, ensuring adherence to all company duty time policies and regulatory requirements.
+ Pilot Crew Scheduling: Oversee scheduling for pilot crews, ensuring equitable assignments, compliance with flight/duty guidelines, and accurate tracking of crew duty history to inform scheduling decisions.
+ Stakeholder Liaison: Serve as a key point of contact between flight crews, management, maintenance, and passengers to guarantee smooth operational flow.
+ Security and SMS Participation: Perform duties as Security Coordinator within DASSP/FBOSSP programs and actively contribute to the Safety Management System (SMS).
+ Process Development & Implementation: Design and implement standardized, scalable aircraft scheduling processes such as ticketing systems,to enable efficient onboarding of contractors and reduce dependency on individual expertise.
+ Reporting & Data Analysis: Transform unstructured data and spreadsheets into modern dashboards (e.g., PowerBI) for tracking aircraft usage, availability, and crew metrics, producing actionable reports as needed.
+ Continuous Improvement: Establish and maintain a quality management system for scheduling, tracking process deviations, and implementing improvements for operational excellence.
+ Regulatory and Safety Compliance: Develop and enforce processes that prevent unauthorized bookings; conduct regular audits (monthly, quarterly, annually) to ensure compliance with safety standards and company policies.
+ Resource Optimization: Maximize aircraft and crew availability by using data-driven tools to consolidate flights, manage charter options, and optimize scheduling within operational limits.
+ Strategic Recommendations: Analyze departmental data to provide holistic insights and recommendations for process improvements and operational changes.
+ Professional Development: Commit to ongoing education and stay current with advancements in automation, artificial intelligence, and industry-specific technologies.
+ Project Management: Lead and contribute to complex and confidential department projects, collaborating with internal and external stakeholders as needed.
+ Safety & Regulatory Monitoring: Report incidents in SMS and contribute to the evaluation of safety changes; maintain advanced knowledge of Federal Aviation Regulations and related business aviation issues.
+ Technical Proficiency: Maintain expertise in aviation business and scheduling software to support department objectives.
+ Additional Duties: Participate in department committees or projects as assigned by AVP Aviation Operations.
Your Minimum Basic Qualifications:
+ High School diploma
+ Demonstrated ability to effectively utilize automation, artificial intelligence, and technology in aviation scheduling and dispatch operations.
+ Ability to implement, monitor, and evaluate automated scheduling solutions to minimize errors and improve decision-making.
What You Should Bring:
+ FAA Aircraft Dispatcher Certificate.
+ Associate or Bachelor’s Degree preferred
+ Flexibility to work various hours including nights, weekends and holidays.
+ Previous experience in flight operations, dispatch, or scheduling.
+ Familiarity with flight planning software, weather systems, and regulatory compliance tools.
+ Knowledge of executive travel protocols.
+ Strong decision-making skills and the ability to perform under pressure.
+ Excellent communication skills for effective interaction with crew, maintenance personnel, executives, and assistants.
+ Customer service orientation and professional demeanor.

Actual compensation will depend on a candidate’s education, experience, skills, and geographic location. The anticipated wage for this position is
$127,500 - $187,000
Full-time equivalent employees also will be eligible for a company bonus (depending, in part, on company and individual performance).
