Job Summary:
Alluvionic is seeking a Business Development Coordinator/Specialist to provide high-level support to the Commercial Business Unit . This role is a mix of administrative support, customer service, proposal development, prospect engagement, and project coordination for BD activities such as conferences, events, and strategy meetings. The ideal candidate will be detail-oriented, proactive, and comfortable leveraging AI tools to streamline workflows, improve processes, and enhance team efficiency.

Responsibilities:
Business Development Support (Primary Focus):
* Schedule and coordinate BD calls, meetings, and EVP’s BD calendar.
* Triage initial prospect intake calls using scripted content, gather client info, and route to appropriate POCs.
* Assist with proposal development using templates and team inputs; finalize, format, and send proposals.
* Manage follow-ups for proposals in alignment with BD SOPs.
* Support conferences, BD events, and speaking engagements — registration, travel, hotels, materials, prep meetings, and debriefs.
* Develop and maintain BD dashboards, scorecards, and metrics.
* Manage Zoho CRM — update leads, lists, and prospect records.
* Send weekly BD activity request emails; compile metrics for reporting.
* Support EVP with administrative requests tied to BD strategy and execution.
* Create and maintain BD SOPs, presentations, and slide decks.
Administrative & Team Coordination:
* Provide high-level administrative support to EVP, including calendar management and special projects.
* Track and manage BD team action items; ensure deadlines and deliverables are met.
* Coordinate logistics for BD offsites, internal strategy meetings, and cross-functional activities.
* Forward and triage general BD inquiries (Info@ inbox).
Marketing Support (Future, Phase-In Responsibility):
* Assist with targeted monthly email campaigns and prospect outreach lists.
* Support marketing initiatives and event collateral as needed.
* Contribute to internal marketing project coordination once onboarded.
Required Qualifications:
* 4 years of experience in business development, sales support, or executive administrative coordination.
* Strong organizational skills with the ability to manage multiple tasks and competing priorities.
* Experience with CRM systems (Zoho or similar).
* Strong written and verbal communication skills; comfortable drafting professional correspondence.
* Tech-savvy and comfortable using AI tools (e.g., ChatGPT, AI-based scheduling, CRM automation) to streamline workflows and improve efficiency.
* Proficiency with Microsoft Office Suite and presentation tools (PowerPoint).
* Experience coordinating events, conferences, or offsite meetings a plus.
