Job Description
Provide expert-level administrative support and leadership to the team, leveraging over 10 years of experience to ensure seamless operations and enhance organizational efficiency. The role involves preparing monthly procurement card expense statements, managing calendars, organizing meeting arrangements and catering, and handling invoice reconciliation and processing. You will also coordinate video conferences, make travel arrangements, maintain SharePoint and TEAMS sites, order office supplies, and manage access and distribution lists. Additionally, you will prepare, edit, and review complex documents, reports, presentations, and correspondence using advanced proficiency in Microsoft Office Suite and other relevant software. The role requires handling highly sensitive and confidential information with utmost discretion and professionalism and acting as a primary point of contact for internal and external stakeholders.
Responsibilities
+ Prepare monthly procurement card expense statements.
+ Manage calendars and organize meeting arrangements and catering.
+ Reconcile and process invoices and check requests.
+ Schedule, set up, and coordinate video conferences.
+ Make travel arrangements.
+ Maintain SharePoint sites and TEAMS sites.
+ Order office and breakroom supplies.
+ Manage S: Drive, TEAMS or SharePoint access, and Outlook distribution lists.
+ Prepare, edit, and review complex documents, reports, presentations, and correspondence.
+ Conduct in-depth research, gather and analyze data, and compile comprehensive reports.
+ Handle highly sensitive and confidential information with discretion.
+ Act as a primary point of contact for internal and external stakeholders.
Essential Skills
+ Over 10 years of experience in administrative support roles.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook).
+ Outstanding communication and interpersonal skills.
+ Ability to interact effectively with diverse stakeholders.
+ Experience in calendar management, invoice reconciliation, and scheduling appointments.
+ Experience supporting a large department.
+ Ability to manage multiple tasks and prioritize activities.
+ Proven ability to produce accurate results with attention to detail.
+ Ability to maintain confidentiality of sensitive information.
Additional Skills & Qualifications
+ High School Diploma or GED required.
+ Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) is desired but not required.
+ Experience with expense reporting and reconciliation, arranging travel, and coordinating meetings.
+ Experience as a self-starter in day-to-day responsibilities.
+ Ability to represent the department professionally with executives and business partners.
+ Proficiency in Oracle and other enterprise systems is an advantage.
+ Ability to learn and adapt to new technologies and software.
Work Environment
This position is based in a large, enterprise work environment with a minimum requirement of being in the office four days per week, typically from 8 AM to 4 PM. Job Type & Location
This is a Contract position based out of Atlanta, Georgia
Compensation
Pay will vary on experience - anticipated range is $22-28hr. Compensation plan includes paid holiday and vacation time.
Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
