Lead Lease Administrator

Arctic Peak is seeking a Lead Lease Administrator to support our government agency with its real property assets lease portfolio throughout the United States and its overseas territories. The Lease Administrator will be responsible for maintaining and overseeing all aspects of lease administration within an organization. This role involves coordinating with various departments, ensuring compliance with lease terms, and providing support to the lease administration team. The Lease Administrator ensures that all lease-related activities are executed accurately and efficiently, supporting the organization’s real estate and financial objectives. We’re looking for someone with extensive experience in lease administration, real estate management as well as knowledge of real estate laws and regulations, preferably related to government.
As the team leader, the Lead Lease Administrator also ensures that services and deliverables are met in compliance, consistent with the scope related to the government contract and serves as the main point of contact between the client and program management.

Responsibilities
+ Lease Management:
+ Provide assistance with the administration of leases, including new lease agreements, renewals, amendments, terminations, Determinations and Findings (D&F) and Justification and Approval (J&A). Draft SAM.gov notices, Request for Proposals and solicitation documents. Draft Supplemental Lease Agreements and other modifications as needed by the Government team.
+ Ensure all lease documents are accurate, complete, and comply with company policies and legal requirements.
+ Team Leadership:
+ Exercise a pro-active approach toward projects and assignments; seeking clarification as needed and setting clear comprehension of assignments; establishing concrete deadlines and communicating for the purposes of managing expectations and meeting deliverables to quality standards.
+ Assign tasks, set performance goals, and monitor the team’s progress.
+ Ability to inform, mentor and guide subordinates and clients alike.
+ Coordination and Communication:
+ Collaborate and coordinate with internal stakeholders for identification of lease.
+ Facilitate communication between departments, including legal, finance, and property management.
+ Data Management and Reporting:
+ Maintain and update lease databases, ensuring all lease information is accurate and up to date.
+ Generate regular reports on lease status, critical dates, market research, financial obligations, and other key metrics.
+ Compliance and Risk Management:
+ Ensure compliance with lease terms, company policies, and relevant laws and regulations.
+ Identify and mitigate potential risks related to lease agreements and administration.
+ Financial Management:
+ On client request, help monitor and manage lease-related financial obligations, including rent payments, operating expenses, and escalations.
+ On client request, reconcile lease payments and ensure accurate financial reporting.
+ Lease Analysis and Negotiation:
+ On client request, conduct lease analysis to support strategic decision-making and identify opportunities for cost savings.
+ Assist in negotiating lease terms and conditions to achieve favorable outcomes for the organization.
+ Document Management:
+ Maintain organized and secure lease documentation, both physical and digital.
+ Ensure that all lease-related documents are easily accessible and properly archived.
+ Problem Resolution:
+ Address and resolve lease-related issues and disputes in a timely and effective manner.
+ Work with legal counsel and other stakeholders to resolve complex lease matters.
+ Continuous Improvement:
+ Identify opportunities to improve lease administration processes and implement best practices.
+ Stay informed about industry trends and changes in lease administration standards.
Qualifications
+ Experience: Extensive experience in lease administration, real estate management, or a related field. Experience in a leadership or supervisory role is highly desirable.
+ Technical Knowledge: Proficiency in lease administration software and tools, as well as knowledge of real estate laws and regulations.
+ Leadership Skills: Strong leadership and team management skills, with the ability to motivate and guide a team.
+ Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders.
+ Organizational Skills: Strong organizational and time management skills to handle multiple tasks and meet deadlines.
+ Attention to Detail: High level of attention to detail to ensure accuracy in lease documentation and financial reporting.
+ Analytical Skills: Strong analytical and problem-solving abilities to conduct lease analysis and resolve issues.
+ Financial Acumen: Understanding of financial principles related to lease administration, including budgeting, forecasting, and reconciliation.
+ Compliance Awareness: Knowledge of compliance requirements and the ability to ensure adherence to relevant laws and regulations.
+ Negotiation Skills: Ability to negotiate lease terms and conditions effectively to achieve favorable outcomes.
