Summary You will serve as a MANAGEMENT AND PROGRAM ASSISTANT in the AVIATION SUPPORT DEPARTMENT of STRIKE FIGHTER WING PACIFIC STAFF. Responsibilities You will provide assistant level support of management and/or program analytical functions. You will provide direct support to the program analyst, program manager and/or program office by organizing, collecting, analyzing and presenting information related to the current and future program/project workload. You will coordinate efforts to obtain workload data to track progress in meeting objectives and use of resources. You will review resources (funding, labor, equipment) expended and milestones met throughout the program segments/projects. You will prepare reports for higher level employees describing problems that are recurring or causing significant delays or costs, the corrective actions needed or taken, and the need for additional time or resources. You will assist in the preparation of program management documents, such as the Program Objective Memorandum, ensuring that inputs are updated as needed. You will post and update master program milestones and assist in the preparation of periodic overviews of the program. You will calculate the total amount of funding, staff hours and equipment time used, and salary, material, and other costs incurred upon completion of the project. You will attend planning conferences and meetings which affect current and future requirements of the program, and assist in the preparation of agenda items, presentations and reports. You will accurately type a wide variety of correspondence, reports, or similar materials from handwritten or electronic drafts using a personal computer. You will review correspondence to ensure proper grammar, spelling, capitalization, punctuation, and appropriate format. You will ensure that requirements for classified material are accurately followed. You will reschedule appointments when it is clear that the supervisor will not be able to make all commitments. You will answer routine and non-technical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files. You will make travel arrangements based on general travel intentions, known preferences of the traveler, and in accordance with appropriate travel regulations. You will use office automation software to assist in management and/or program areas of assignment (e.g., if assigned forms management support duties/tasks, use software to develop forms). You will update, revise, sort, calculate, and manipulate data in spreadsheets to meet multiple report formats and produce standard reports. You will convert spreadsheet data into charts, graphs, and report formats, and from one software program to another. You will develop macro spreadsheets by setting up format and sequence of functions to update, revise and retrieve information for office needs and special or non-standard reports. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Applying basic data gathering methods in support of management and/or program analytical functions. Examples of qualifying experience may include (1) knowledge of one or more information management areas, e.g., records, forms, directives, correspondence, and/or mail; (2) ability to use correspondence rules and regulations to prepare and/or edit written correspondence; (3) ability to use office automation tools/techniques and Microsoft Office software applications to support office operations. Education Education may be substituted for specialized experience as follows: One full year of graduate level education in a field of study directly related to the position OR A combination of experience and graduate education as described above that equates to one year of experience.
