Director, Medical Congress and Professional Society Planning
The Director of Medical Congress and Professional Society Planning reports to head of Customer Experience & Collaboration and plays a pivotal role in establishing a standardized approach to congresses and events within USMA as a whole; across multiple therapeutic areas, enhancing our presence in the medical community, and ensuring that impactful experiences that differentiate us from competitors are delivered. This role is responsible for setting the overall strategy, internal communication/collaboration and vision for medical congress and professional society engagements; including ensuring the organization is represented effectively at these events.
YOUR TASKS AND RESPONSIBILITIES
The primary responsibilities of this role, Director, Medical Congress and Professional Society Planning, are to:
Standardize Event Planning Processes:
+ Develop and implement standardized processes and best practices for planning and executing congresses and medical events across therapeutic areas.
+ Create a comprehensive toolkit that includes templates, guidelines, and checklists to streamline event planning.
+ Ensure adherence to Bayer Brand standards in all aspects of event execution.
+ Partners closely with brand teams to align congress strategies with overall brand messaging and promotional activities.
Cross-Functional Collaboration:
+ Collaborate with internal stakeholders, across Bayer including USPH, Consumer and Radiology
+ Engage with therapeutic area teams to understand their specific needs and tailor events accordingly.
+ Act as the primary point of contact for all stakeholders involved in congresses and events, ensuring clear communication and collaboration throughout the planning process.
+ Works with regulatory affairs team to ensure all activities, in particular promotional content and interactions with healthcare professionals comply with Bayer and industry regulations and guidelines.
Congress Strategy Development:
+ Define the strategic goals for participation in key congresses and events, focusing on enhancing visibility and engagement.
+ Identify and prioritize congresses and events that align with the company’s therapeutic focus and strategic objectives.
+ Lead internal and external (Maritz) meetings teams to ensure timely execution based on both strategic and logistical needs, clear communication and annual planning
+ Identify potential sponsorship opportunities and manage relationships with sponsors to enhance the visibility and impact of events.
Budget Management & Reporting:
+ Define an initial orientation plan for all roles to ensure appropriate staffing of all events in partnership with medical/commercial colleagues
+ Analyze event budgets post-execution to assess financial performance and provide insights for future planning.
+ Establish metrics to evaluate the effectiveness of congresses and events, including attendee feedback, engagement levels, and return on investment (ROI).
+ Gather and analyze feedback from attendees and stakeholders to identify areas for improvement in event planning and execution.
+ Stay updated on industry trends and best practices in congress and event planning to enhance the company’s approach.
+ Develop contingency plans to address potential risks or challenges that may arise during the planning and execution of events.
Logistics Coordination & Content Development:
+ Oversee all logistical aspects of congresses and events, including venue selection, vendor management, and on-site coordination.
+ Ensure compliance with relevant regulations and guidelines throughout the planning and execution process.
+ Collaborate with subject matter experts to develop engaging content and presentations for congresses and events.
+ Ensure that all materials reflect the company’s messaging and branding standards.
WHO YOU ARE
Bayer seeks an incumbent who possesses the following:
Required Qualifications:
+ Bachelor’s degree;
+ Proven experience in planning and executing congresses and events within the pharmaceutical or healthcare industry.
+ Strong project management skills with the ability to manage multiple events simultaneously.
+ Excellent communication and interpersonal skills, with a focus on collaboration and stakeholder engagement.
+ Proficient in using event management software and tools.
+ Knowledge of regulatory requirements and compliance considerations in the pharmaceutical industry.
+ Strong analytical skills with the ability to evaluate event performance and make data-driven recommendations.
+ **Strategic Thinking** : Ability to develop and implement long-term strategies for congress participation that align with organizational goals.
+ **Leadership Skills** : Strong leadership and team management abilities, with a talent for motivating and guiding cross-functional teams.
+ **Communication Skills** : Excellent verbal and written communication skills for effective interaction with internal and external stakeholders.
+ **Project Management** : Proficient in managing multiple events simultaneously while adhering to deadlines.
+ **Analytical Skills** : Strong analytical abilities to assess event performance and derive actionable insights for continuous improvement.
Preferred Qualifications:
+ 8-10 years proven experience in planning and executing congresses and events within the pharmaceutical or healthcare industry.
Employees can expect to be paid a salary of between $160,648–$240,973. Additional compensation may include a bonus or commission (if relevant). Additional benefits include health care, vision, dental, retirement, PTO, sick leave, etc. This salary range is merely an estimate and may vary based on an applicant’s location, market data/ranges, an applicant’s skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
