Position Profile
Supports the daily operations of one or more MS locations, including copy production, mail center operations, receptionist duties, audio-visual support, administrative tasks, and maintaining billing logs and reports. Supports regional MS logs and services during implementations and fills in for absences across Ricoh locations. Assists during the startup of new accounts and is responsible for supporting operational objectives at all existing customer sites within a geographic territory. Reports directly to the Site/Operations Manager or IAM, depending on marketplace personnel configuration.
Job Duties and Responsibilities
Assist with new MS site implementation.
Support Site Manager or Supervisor in offering process improvement suggestions.
Assist in the training of new and existing employees.
Maintain accurate and up-to-date Site Procedure Guides, Forms, Logs, and Site Branding materials.
Collect data for Monthly Management Reports as directed by Site Manager/Supervisor.
Order paper, toner, and other supplies as required.
Perform mailroom functions in the absence of onsite personnel:
Process all incoming and outgoing mail.
Sort, file, package, and process shipments for delivery.
File and label documents and materials for storage and retrieval.
Handle shipping and receiving of boxes and equipment.
Provide courier services on-campus and offsite.
Assist in Copy Center operations, including binding, laminating, folding, and other copy requests.
Perform basic troubleshooting on all Ricoh Center equipment.
Coordinate work assignments to meet deadlines and service deliverables.
Manage all aspects of the Ricoh Center in the absence of Site Manager/Supervisor.
Lead the Daily Huddle when Site Manager/Supervisor is unavailable.
Perform Front Desk Receptionist duties.
Qualifications (Education, Experience, and Certifications)
Typically Required:
High school diploma plus 6–12 months of related work experience.
Valid, violation-free driver’s license with reliable transportation and minimum auto insurance coverage per Ricoh policy.
Experience operating bindery and mailroom equipment (shrink-wrap, paper cutter, hole driller, collators, tape machines, electric stapler, scales, etc.).
Experience with postage meter and related equipment.
Knowledge, Skills, and Abilities
Ability to operate and troubleshoot mailroom equipment.
Strong organizational skills.
Excellent communication and customer service skills.
Working Conditions, Mental and Physical Demands
Typically office environment with adequate lighting, ventilation, and normal temperature/noise levels.
Work assignments are diversified, requiring comprehension and application of complex instructions and data.
Physical effort required: standing, walking, bending, reaching, stretching, climbing, lifting/moving items up to 50 lbs, and pushing/pulling equipment on wheels up to 400 lbs.
May require walking between buildings.
Moderate dexterity and regular use of basic tools, calculator, keyboard, and hand/eye coordination.
