We are seeking a highly organized and detail-oriented **Administrative Assistant** to support the **MEP Sheet Metal Department within our construction company** . The ideal candidate will be responsible for handling a wide range of administrative and documentation tasks to ensure smooth departmental operations. This role involves coordinating with engineers, project teams, subcontractors, and suppliers, maintaining records, preparing reports, and assisting in project tracking.
Job Description:
+ Provide administrative support to the MEP Sheet Metal department including scheduling meetings, managing calendars, and handling correspondence.
+ Maintain and organize MEP Sheet Metal project documentation (drawings, Production tracking, submittals, RFIs, method statements, inspection requests, etc.).
+ Prepare and format technical documents, letters, and reports as directed by MEP Sheet Metal engineers or managers.
+ Track and update logs for materials submittals, approvals, shop drawings, and procurement schedules.
+ Assist in the preparation of monthly progress reports and other project-related documentation.
+ Coordinate with project engineers, procurement, and site teams to ensure timely submission and follow-up of MEP Sheet Metal deliverables.
+ Support in the preparation of presentations, charts, and graphs for meetings.
+ Maintain proper filing systems (hard copy and digital) ensuring ease of access and data security.
+ Liaise with suppliers and subcontractors for documentation follow-ups and administrative tasks.
+ Support compliance with company policies, safety standards, and quality management systems.
+ Perform general office duties such as photocopying, scanning, printing, and ordering supplies for the MEP team.
Requirements:
+ Bachelor’s degree in Business Administration or related field preferred, High School Diploma required and 10+ years of administrative experience preferably in a construction por engineering environment.
+ Proficiency in MS Office (word, Excel, PowerPoint)
+ Familiarity with document control software or project management tools (Aconex, Procore, Primavera, etc.) is a plus.
+ Strong organizational and time management skills
+ Attention to detail and accuracy
+ Excellent verbal and written communication skills
+ Ability to multitask and prioritize in a fast-paced construction environment
+ Knowledge of MEP terminology is preferred
