Job Descriptions:
SUMMARY
Responsible for providing administrative support to the Director, Ass't Directors, Service and Support Administrators, SSA Supervisors and other Department Personnel to assist with the efficient operation of the SSA Department. Performs Waiver Administration duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned.

+ Reviews Individualized Service Plans (ISP’s) set forth by SSA’s on a daily basis;
+ Logs and tracks both supervisor and compliance ISP reviews and SSA completion of recommendations on daily basis then disseminates updates to supervisors on biweekly basis;
+ Provides Level of Care attestation dates to applicable SSA’s on weekly basis;
+ Process, log and track NEON Change Requests as applicable. Follow up on outdated Payment Authorizations as applicable;
+ Disseminates Patient Liability as set forth by DODD to applicable individuals on monthly basis;
+ Completes internal Quality Assurance Reviews of official Waiver files;
+ Adheres to work assignment timelines. Provides excellent customer service.

+ Works with DODD and ODJFS;
+ Informs the Director and SSA Supervisor should any issues beyond routine department correspondence occur;
+ Creates Staff Spotlights and compiles information for Department Newsletter;
+ Tracks department invoices, oversees department business cards and large mailing distribution;
+ Liaison and point of contact for departments events. Coordinates in-person and virtual presentations for the department. Applies for professional CEU’s when applicable for department meetings and trainings;
+ Tracks attendance and notations during department meetings and trainings.

+ Works with Leadership Team to assure compliance with rules and regulations; e.g., DODD Accreditations, Quality Assurance Reviews, etc.;
+ Follows all State and Federal rules and regulations as well as Board policies and procedures including HIPAA and MUI/UI compliance;
+ Coordinates staff activities/parties and annual giving opportunities. Assists with special projects from other departments including HR, IT and Nursing (CPR & First Aid training);
+ Point of contact for incoming questions about services and department. Disseminates information from Leadership Team to department;
+ Reports major unusual incidents to include alleged suspected or actual abuse/neglect in accordance with HB 403; Ohio Revised Code 5123; Administrative Rule 5123:2-17-02; and County Board Policies and Procedures;
+ Participates in Medicaid Random Moment Time Studies;
+ Completes special projects as assigned. Gathers and maintains documents as requested by department contacts.

Required Experience:
EDUCATION AND EXPERIENCE
Bachelor’s Degree required. Experience with individuals who have developmental disabilities preferred. Eligible for DODD Registration or Certification. Evidence of good driving record and proof of insurance on any vehicle used for transportation.
ESSENTIAL COMPETENCIES
Ability to: Appropriately handle stress and interact with others, to include the ability to follow supervisory direction. Read, write and/or comprehend instructions, short correspondence, and memos. Effectively present information in one-on-one and small group situations to patrons, constituents, and other employees of the organization. Apply numerical operations and mathematical thinking in order to solve a range of problems in everyday situations. Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Display knowledge of and an awareness for the Board's safety and security program and follows established guidelines regarding safety rules, accident reporting, emergency codes, drills, policies, and procedures. Practices Universal precautions as outlined by the Board's Exposure Control Plan. Follow all reporting requirements pertaining to UI/MUI. Adhere to work schedule pertaining to attendance and punctuality. Absenteeism is within acceptable guidelines. Maintains an appropriate professional appearance and adheres the Board's dress code policy.
Knowledge of: Internet software, Windows, Microsoft systems (Outlook, Word, Excel, etc.).
