Job Summary and Qualifications
Maintain day-to-day operations managing one of HCA Healthcare’s largest outsourced relationships with the third party record keeper who administers platforms for services for all retirement plans for eligible employees. This includes a separate retirement administration platform maintained for a growing portion of our Physician Services Group and Home Health and Hospice population.
Major Responsibilities:
Assist in managing outsourced benefits administration vendors
+ Serve as Benefits COE contact and subject matter expert for an assigned portion of HCA Healthcare’s HR staff researching, analyzing and resolving any participant escalations or operational issues related to retirement plans
+ Assist in establishing key metrics and reports to measure service levels for all retirement plan vendors
+ Review all metrics and reporting tools to ensure that vendor call centers maintain service level targets. Will also need to assist in identifying key call drivers and process improvements where needed
+ Identify and implement all process improvements or enhancements where identified. This includes working with internal and external partners to implement change and see project to completion
+ Participate in quarterly review meetings with third party administrators to discuss overall services to HCA Healthcare, completed projects and future projects on retirement plans
+ Manage the exception process that follows annual enrollment
+ Liaison between other Benefits COE departments (Communications, Vendor Relations, Benefits Finance, Ancillary Plans, and Compliance) for any customer service or benefit plan issues involving outsourced retirement administrators
+ Provide retirement support to Labor Relations related to union activity and coordinate changes with record keeper and internal partners to ensure accurate and timely implementation with affected third party vendors
+ Manage day to day operations for 401(k) rollover administration through the outsourcing vendor, as needed
+ Draft and review ongoing topics for communication materials distributed to eligible colleagues and field HR colleagues. This includes revising call center communications to colleagues as well as electronic communications and articles submitted to field HRBPs
+ Partner with ERISA counsel and the Benefits Compliance Coordinator to understand changes in regulations in order to effectively communicate changes to retirement call centers and ensure all procedures in place comply with all regulations (Summary of Material Modification, Medicare Part D notices, privacy notices, etc.)
+ Manage all administrative services provided by any third-party administrator to Provider Care Group participants for both retirement plans
Assist with mergers, acquisitions and divestitures as they relate to eligibility and all retirement plans.
+ Train newly acquired HR members on benefit and retirement options and processes and provide additional colleague training to HR as needed
+ Collaborate with special projects analyst to ensure and understand rollovers into or out of our plans for divestitures and acquisitions, as well as assist with the effort of merging former plans into our 401k plan as necessary, including 401k loan rollovers into and out of the plan.
Assist in managing the Annual Enrollment (AE) process each year
+ Develop content and participate in webinar presentations to HR colleagues on all key messages related to Annual Enrollment. Provide updates on plan information and communicate all key changes involving Retirement benefit offerings for the new plan year
+ Assist HCA Healthcare's Benefits Communications Team with developing all Annual Enrollment materials for HR, including developing content for the Annual Enrollment HRD Handbook
+ Provide input on the project plan and ensure all deliverables are completed and on schedule
+ Lead on-site culture training sessions to administrator’s Customer Service Representatives in preparation for Annual Enrollment
+ Participate in testing of the enrollment website to ensure that changes for the new year are accurately reflected
Other responsibilities
+ Review required colleague facing required compliance and custom documents such as Summary of Material Modifications, QDIA notices, hours tracking letters as well as other compliance and privacy communications
+ Research years of service 401k claims and provide responses in accordance with compliance deadlines
+ Assist the compliance coordinator and ERISA counsel in researching 401k appeals
+ Monitor and manage Provider Care Group appeal inquiries and escalations from HR and respond accordingly
+ Liaison with Physician Services Group (PSG) on Provider Care Group escalations and participate in leadership discussions around strategy
+ Monitor incoming emails to the HCA hrAnswers inbox daily, research and respond as appropriate
+ Collaborate with all necessary partners to identify and implement process improvements and changes for the Provider Care Group as well as develop and perform HR training on an annual basis
+ Provide back-up support to other team members as needed
+ Practices and adheres to the HCA Healthcare Code of Conduct and the Mission and Values Statement
Education & Experience:
+ Bachelor's degree Required
+ 3+ years of experience in benefits administration (as a Benefits Analyst or HRIS Analyst required
+ Customer oriented – establish credibility and trust with internal and external partners such as vendors, other departments and facility leadership etc. preferred
+ Strong understanding of all areas of Benefits Administration (medical, FSA/HRA, COBRA, Dental, 401k, STD/LTD, Voluntary Benefits, Section 125) required
+ Microsoft Office/Excel knowledge and strong analytical skills required
+ Ability to multi-task and demonstrate effective communications skills required
+ Call center experience helpful, great customer service skills preferred
