Strategic Executive Coordinator

About the Role
We're seeking a highly organized and proactive Executive Coordinator to support our CEO/Visionary in a company deeply engaged in cybersecurity and AI innovation. This role is pivotal in managing the CEO's day-to-day schedule, streamlining schedules, and assisting in continuous process improvements that strengthen the CEO's effectiveness. The ideal candidate excels at multitasking, communication, and anticipating needs — helping the CEO stay focused on strategic priorities while maintaining strong community and industry leadership presence.
Key Responsibilities
- Manage the CEO's calendar, email, meetings, presentations, community involvement and travel logistics with accuracy and foresight.
- Prepare agendas, presentations, and meeting materials; take and distribute notes, ensuring timely follow-up on action items.
- Coordinate cross-functional projects, track timelines, and ensure accountability on deliverables.
- Develop and maintain documentation for processes, systems, and strategic initiatives the CEO is responsible for.
- Support strategic planning and continuous improvement efforts that enhance organizational efficiency.
- Maintain strong alignment and communication between the CEO/Visionary and COO/Integrator, fostering “rocket fuel” collaboration in line with EOS principles.
- Lead recruiting efforts for new team members, including posting roles, scheduling interviews, coordinating candidate communications, and ensuring a smooth handoff to onboarding team.
- Handle confidential information with professionalism and discretion while representing the company and leadership team with integrity.
- Recognize and share opportunities for improvement in company processes, systems, and communication flow — especially in areas involving technology, cybersecurity, and AI-driven efficiency.
- Manage the headquarters office, maintain organization, stocking levels, provide resources need to remote employees regarding offices supplies, etc.
Qualifications
- 3+ years of experience as an Executive Coordinator or similar role.
- Exceptional organizational, communication, and problem-solving skills.
- Proficiency in Microsoft Office and Google Workspace; aptitude to learn and apply new technologies that enhance the position if critical. Comfort, experience and curiosity with AI is ideal.
- Strong judgment, discretion, and the ability to handle sensitive information.
- Proven ability to work cross-functionally, manage priorities, and drive results in a dynamic environment.
