    About the Role:

    The Facilities Maintenance Planner ensures that all maintenance work is planned, scheduled, and resourced efficiently to maximize technician productivity, improve asset reliability, and uphold client service standards. This role bridges day-to-day execution with continuous improvement—ideal for someone ready to shape best practices within an established facilities program.

    What You’ll Do

    + Follow established workflows and continuously identify and implement improvements.

    + Organize, prioritize, and assign work orders to technicians or work teams, ensuring efficient labor utilization.

    + Collaborate with Facilities Managers, Engineers, and Sourcing to align maintenance planning with client priorities and project schedules.

    + Ensure all work assigned is ready for execution with proper materials, permits, tools, job plans, and safety documentation.

    + Review open and completed work orders to ensure data accuracy, compliance with policies, and completeness of technician updates.

    + Own accuracy and integrity of CMMS data, including job plans, labor codes, and asset hierarchies.

    + Generate weekly compliance and backlog reports, providing data-driven insights to management and clients.

    + Support and coordinate shutdowns or restricted-access work, ensuring interventions are efficiently resourced and safely executed.

    + Coordinate subcontractor engagement, direction, and scoring using CBRE procurement tools and vendor management processes.

    + Facilitate weekly maintenance planning meetings to level workload, review upcoming projects, and resolve scheduling conflicts.

    + Work with Technicians to stage materials, permits, subcontractors, and tools prior to scheduled work.

    + Review predictive maintenance data for trends and generate reports for management and client review.

    + Perform quarterly reviews of reactive maintenance trends and preventive program improvements.

    + Partner with CMMS administrators to improve preventive maintenance libraries, labor plans, and asset reliability tracking.

    + Ensure all service reports are reviewed with Chief Engineers or SMEs and that follow-ups are entered in CMMS and communicated appropriately.

    + Maintain and distribute workflow documentation across the account team to promote consistency and compliance.

    + Drive continuous improvement through KPI analysis, standardization, and best practice adoption.

    + Support change management initiatives that enhance technician efficiency and planning accuracy.

    + Own, update, and continuously improve the compliance calendar.

    + Apply applicable regulatory and client compliance standards (NFPA 25, Title 19, OSHA, etc.) in planning activities.

    + Lead by example and model behaviors consistent with CBRE RISE values, contributing to a world-class facilities organization.

    What You’ll Need

    + High School Diploma, GED, or trade school diploma with 3-5 years of job-related experience. In lieu of a diploma, a combination of experience and education will be considered.

    + Experience with CMMS platforms (FMX, Maximo, FAMIS, Corrigo, or equivalent).

    + Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with technical writing.

    + Strong organizational skills and an inquisitive, data-driven mindset.

    + Ability to analyze maintenance information and use standard practices to make sound judgments.

    + Understanding of maintenance planning principles, preventive maintenance optimization, and reliability tracking.

    + Familiarity with building systems (HVAC, electrical, plumbing, and life safety).

    + Exposure to vendor management, contractor scheduling, and service-level tracking.

    + Excellent communication and collaboration skills to liaise across technicians, management, and clients.

    + Intermediate math skills, including ability to calculate percentages, fractions, and other financial figures.

    Physical Requirements

    + Must be able to meet the physical requirements of this role, including stooping, standing, walking, climbing stairs/ladders, and occasionally lifting or carrying loads of 50 lbs. or more. May require access to mechanical rooms, roofs, or restricted areas for work verification and site assessments.

    California Residents: CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Facilities Maintenance Planner position is $58,000 annually and the maximum salary for the Facilities Maintenance Planner position is $75,000 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
