    Summary

    This role primarily fulfills the management of the proposal process, which includes writing, editing, and coordinating of proposals. The role also assists with internal and external marketing and business development materials to support the business development efforts for the organization. This role also responds to requests for proposals (RFPs) determined to be within the company’s scope and field of operations within extremely tight deadlines, including writing narratives in response to the RFP; developing templates for proposals per RFP or RFQ instructions; and developing and maintaining databases of responses, boilerplates, resumes, past performance information, etc. Project management experience will help to keep projects on track and within timeline and scope. The ideal person will be highly organized, be able to handle pressure well and thrive in a deadline-driven environment. Ultimately, they will ensure our content is on brand and adds value to existing and potential customers.

    Essential Duties and Responsibilities

    + Document, analyze, summarize, and disseminate key RFP requirements, including, but not limited to, the scope of work.

    + Create outlines and schedules for proposal efforts.

    + Liaise effectively as a leading member of the proposal team.

    + Attend RFP meetings, discussing key requirements and strategic approach.

    + Research project background or other information and research to obtain relevant information on requirements.

    + Work with existing boilerplate and rough draft material from subject matter experts and convert it into high-impact content for proposals.

    + Maintain a current library of information/records that is accessible to the Business Development Team.

    + Oversee the proposal development software, facilitate the training, and manage the content.

    + Edit and proofread documents for branding, grammar, style, and content.

    + Monitor, support, or attend all production phases of the project to maintain consistency, provide overall quality control, including completeness, color correction, formatting, accuracy, tabbing, binding, packaging, and compliance with proposal submission guidelines.

    + Print the RFP and create binders with separate contents, organized in folders.

    + Assemble the final text, graphics, exhibits, and supporting documents into a cohesive and visually appealing package for presentation to a client or prospect.

    + Supervise and work with the Proposal Coordinator to develop and maintain key personnel job descriptions, resumes, organization charts, and staff deployment plans with various departments and local offices.

    + Assist the Executive Vice President, Sales/Marketing, with business development initiatives, resources, training materials, and marketing materials to support business development goals and initiatives.

    + Develop and write proposals in response to formally written solicitations (RFPs, ITBs, RFIs, etc.)

    Supervisory Responsibilities

    The Proposal Manager reports to the Executive Vice President, Sales and Marketing. This job requires supervision of the Proposal Coordinator.

    Qualifications

    + Bachelor's Degree in Journalism, English, Marketing, Communications, or other related fields.

    + Five years’ technical, proposal, editorial, and/or grant writing experience (be able to provide samples of work).

    + Display a strong business acumen.

    + Knowledge of branding and best practices in marketing and communications.

    + Strong demonstrated knowledge of Microsoft Office applications, Adobe Acrobat, and other desktop publishing skills. Must be able to incorporate graphics into a proposal.

    + Experience with digital photography and content management systems.

    + Excellent writing, editing, and research skills

    + Excellent organizational, analytical, and interpersonal skills.

    + Excellent oral and written communication skills.

    + Innovative and independent problem-solving and information-finding capabilities.

    + Proven track record and ability to excel in a fast-paced, team-oriented environment

    Language Skills

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations using the English language. Ability to write routine reports, business correspondence, and procedure manuals. Ability to effectively present information in one-on-one and small group situations, respond to questions from groups of managers, clients, customers, other employees of the organization, and the general public.

     

    Mathematical Skills

     

    Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

     

    Reasoning Ability

     

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

     

    Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
