    General Scope of Duties

    The Coordinator of Residential Student Services is a critical member of the Residential Life team, responsible for daily oversight of all customer service functions related to housing operations at Connecticut College. This position serves as a primary point of contact for the campus community regarding residential life operations and communications.

     

    The Residential Life office is part of the Division of Student Life led by the dean of students, and part of the Campus Life sub-division led by the Associate Dean for Campus Life. The Division of Student Life works collaboratively to maximize the student experience on campus with our partners in the division of the Dean of Retention and Success (collectively known as the Student Experience Group). The successful candidate will join Connecticut College at a dynamic time with greater cross department and cross divisional collaboration and continuing education.

    General Duties and Responsibilities

    Priority Duties and Responsibilities:

    + Oversee the distribution, tracking, inventory, and management of all residential keys.

    + Partner with Facilities Management to process lock changes and update key control documents.

    + Provide excellent customer service for housing-related inquiries, via phone, email, and in-person interactions.

    + Serve as the frontline for the department, by managing communications through the shared residential life housing email account, and phone service, with a high volume of emails from students, parents, and campus partners requesting information, and providing detailed outward answers.

    + Support the daily functions and operations of Residential Life and Campus Life

    Housing and Access Management:

    + Assist with processing room changes, key distribution, and ID card access.

    + Participate in various on-site housing walkthroughs, inspections, and service oversight.

    + Partner with the Associate Director and Director of Residential Life, to facilitate the end-of-year move-out process, including receiving/organizing documentation from residential life staff, assessing charges, and compiling billing for final review.

    + Assist with various start, mid, and end-of-term audits and report preparation.

    + Conduct regular key audits, including taking key inventory and maintaining records.

    + Facilitate routine office tasks such as supply management and organization to help the Residential Services office function efficiently.

    + Assist with housing move-in/move-out logistics, room turnover over, and communication to students.

    + In consultation with the Director of Residential Life, develop and implement policies and procedures for the management of keys and key distribution.

    + Use housing software to ensure accurate record keeping, and verification for key distribution processing.

    Operations:

    + Develop and maintain digital resources, documents, forms, files, and procedures as it pertains to job functions.

    + Support and represent Residential Life in various capacities during critical events throughout the year, including but not limited to admissions programming, move-in, camel days, etc.

    + Support the Associate Director in room changes within Housing Assignment software, and maintain up to date records of all necessary reports and files.

    + Serve as the point person for Residential Life by email, phone, and face-to-face as a critical function to support students’ residential experience.

    + Manage the distribution and collection of all student staff keys; including master keys.

    + Maintain and update the department website, with critical information, notices, and accurate housing information.

    + Record and track the student Lock-out process, to ensure accurate records and billing to student accounts.

    + Collaborate with campus partners to ensure seamless distribution of keys for summer programs, room changes, and emergency room spaces.

     

    Campus Life

     

    + Coordinate transportation requests for fleet vehicles, distribute and collect van keys, and manage reservations.

    + Communicate to student groups and leaders about proper protocols for transportation needs.

    + Update, develop, and coordinate the reservation process for student transportation services.

    + In coordination with Campus Life leadership, take campus vehicles to be inspected, maintained, and serviced as appropriate.

    + Support and participate in appropriate and applicable department and college activities, events, meetings, and committees

    + Periodically, the department may see a high volume of requests, and this role may be given additional duties or responsibilities to assist with fulfilling the mission of Campus Life.

    Education and Skills

    + Minimum Associate’s degree

    + Minimum 3 years of experience working in office administration, business, educational environment or a related field required

    + Strong written and verbal communication skills

    + Experience handling sensitive information with confidentiality.

    + Sound judgment and analytical skills for problem-solving and decision-making.

    + Ability to work in a fast-paced, team-oriented environment and build relationships with diverse stakeholders.

    + Exceptional customer service and interpersonal skills.

    + Self-motivation, positive attitude, and team-player mentality.

    + Strong evaluation and assessment abilities.

    + Availability to work occasional evenings and weekends (as needed during peak periods).

    Preferred Qualifications

    Prior experience working in a higher education setting (preferred).

    Salary Range $19.50-$22.00
