    Job Description

    Mission Support and Test Services, LLC (MSTS) manages and operates the Nevada National Security Site (NNSS) for the U.S. National Nuclear Security Administration (NNSA). Our MISSION is to help ensure the security of the United States and its allies by providing high-hazard experimentation and incident response capabilities through operations, engineering, education, field, and integration services and by acting as environmental stewards to the Site’s Cold War legacy.     Responsiblities

     

    The Administrative Assistant II will provide comprehensive administrative and clerical support to the Fire and Rescue (F&R) Department, ensuring efficient daily operations and adherence to established policies and procedures. This role requires a proactive and detail-oriented individual capable of managing multiple tasks, coordinating various department activities, and maintaining accurate records. The Assistant will also provide administrative support to the Strategic Operations and Response Support (SOARS) department as needed.

    Key Responsibilities

    + Serve as the primary administrative liaison with Mission Response administrative personnel regarding company administrative requirements.

    + Coordinate travel and training requests, including signature routing and reimbursement processing.

    + Develop overtime letters and spreadsheets as required for travel.

    + Assist with directorate, division, and department functions and presentations held at fire stations.

    + Coordinate new hire orientations and prepare new hire packets.

    + Greeting visitors to the station and direct them to appropriate personnel.

    + Provide administrative assistance and support to the Strategic Operations and Response Support (SOARS) department as needed, which may include scheduling, document preparation, and general office support.

    + Serve as the F&R property control point of contact.

    + Coordinate purchasing activities for F&R, including processing purchase request documents to the Security and Emergency Services Procurement Specialist, tracking orders, and receiving and verifying orders at Fire Station Number 1.

    + Participate in F&R meetings, review boards, investigation team activities, and other functions requiring documentation.

    + Establish and maintain F&R central file and records management systems according to NNSA/NFO, M&O Contractor, and F&R requirements.

    + Process safety meeting documentation, F&R facility safety inspections, and other required documentation.

    + Develop and maintain F&R forms and documents on a rotational basis to ensure timely periodic reviews.

    + Coordinate the F&R physical examination process with M&O Contractor Occupational Medicine Department personnel, including scheduling and tracking x-ray and stress testing, verifying invoices, and completing requisitions for payment.

    + Draft internal and external F&R correspondence and route it through the approval process under the direction of the Fire Chief.

    + Maintain Department Office supply stock.

    + Maintain assigned records in accordance with NNSA/NFO and M&O Contractor records management requirements.

    + Coordinate and track station maintenance requests identified in facility safety inspections and/or reported by station personnel.

    + Using discretion and independent judgment, assist management official in planning, coordinating, and directing a variety of office management functions within the organizational unit to relieve administrative detail related to business and technical operations, processes, programs, and projects.

    + Other duties as assigned by manager.

    Qualifications

    Due to the nature of our work, US Citizenship is required for all positions.

     

    + Bachelor’s degree in related field and at least 2 years of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.

    + Must be highly organized and able to develop specific goals and plans to prioritize, organize, accomplish work, and meet required deadlines.

    + Must possess excellent interpersonal skills and ability to communicate with people inside and outside the organization, representing the organization to customers, the public, government and other external sources in a tactful, professional, and effective manner while screening and maintaining confidentiality.

    + Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.

    + Skill to understand the implications of new information for both current and future problem solving and decision-making.

    + Able to utilize independent judgment, creativity, and initiative to resolve problems and ensure that requirements are completed efficiently and on time.

    + Able to apply knowledge of principles, concepts and theory related to professional business discipline/field related to the position and employ a systems approach to address issues and to define and resolve problems.

    + Able to apply knowledge and experience to compose correspondence and technical reports and accomplish goals where established procedures may not be specific.

    + Able to exercise discretion and sound judgment in performing work and contribute recommendations for improving operations/processes.

    + Ability to observe, receive, and otherwise obtain information from all relevant sources.

    + Ability to develop constructive and cooperative working relationships with others and maintain them over time.

    + Able to remember extensive policies, procedures, terminology, schedules, personnel, and other details.

    + Able to use software applications needed in the position, including Microsoft Suite and general office equipment.

    + Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.

    + Proven administrative support experience, preferably in a fast-paced environment.

    + Strong organizational and time management skills with the ability to prioritize tasks effectively.

    + Excellent written and verbal communication skills.

    + Proficiency in office software (e.g., word processing, spreadsheets, presentation software).

    + Ability to maintain confidentiality and handle sensitive information with discretion.

    + Demonstrated ability to work independently and as part of a team.

    + Understanding of record-keeping principles and practices.

    + Ability to proactively identify and address administrative needs.

    + Preferred experience in a fire department or emergency services setting.

    + Preferred familiarity with government or contractor administrative processes.

    + The primary work location will be at the Fire Department at the Nevada National Security Site (located 65 miles northwest of Las Vegas, Nevada).

    + Work schedule will be 4/10s Monday through Thursday (subject to change).

    + Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.

    + Must possess a valid driver’s license.

     

    Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, ‘ _Identity, Credential, and Access Management_ ,’ and Supplemental Directive NNSA SD 206.2, ‘ _Implementation of Personal Identity Verification for Uncleared Contractors_ .’

    Annual salary range for this position is: $63,856.00 - $95,784.00.

     

    Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
