Summary
The Executive Producer is responsible for working effectively with client and internal teams to deliver event solutions that drive client results and meet financial requirements.
This position will support our Production team. It is eligible to work a hybrid schedule generally requiring 2-3 days per week in-office or at show site, based out of any of the following locations:
+ Dallas, TX
+ Philadelphia, PA
+ Detroit, MI
+ Fort Wayne, IN
Essential Duties & Responsibilities
+ Lead the execution of large and/or complex projects with a strong focus on show production
+ Serve as project manager, leading the team and establishing all documentation, driving deliverables, budget, and communications
+ Develop, manage and communicate project milestones and timelines for all components of the defined scope
+ Lead all internal and external project meetings including project kickoffs, finance kickoff, assessments, weekly team meetings, client budget reviews, and debriefs
+ Ensure client satisfaction, upholding quality of work to meet client expectations
+ Lead the development of the production schedule, production workbook, client playbook and decks
+ Maintain standards and processes throughout the event planning process
+ Participate in creative development when appropriate
+ Oversee multimillion dollar client relationship(s) with responsibility for budget and profit management
+ Focus on team structure and staffing defining roles and responsibilities of the project team
+ Develop a strategy and work with the team and workstream leads to execute, involving and engaging people where/as needed for project success
+ Organize and manage communications between event team members and serve as a key contact for client communications
+ Identify, negotiate, book and manage Flex Force (contractor) resources as needed/directed (crew members, facilities, travel)
+ Look for innovative solutions to production methods
+ Develop, manage and communicate project budgets upwards of $20M that meet the goals of and display value to the client
+ Ability to learn and master proprietary budgeting tools
+ Track budget costs throughout the course of project
+ Communicate scope changes that affect budget to the client in a clear manner
+ Utilize internal resources whenever possible - manage/reduce third party costs
+ Reconcile budgets
+ Develop a positive working relationship with the client with a focus on business acquisition
+ Foster a positive working environment within the production team, office/company
+ Provide best practice and future event recommendations based on experience with the client
+ Develop and actively manage vendor/flex force (contractor) relationships
+ Mentor and coach junior event/production staff to develop skills that can meet changing client needs
Education & Experience
+ Bachelor’s degree or equivalent experience
+ 10+ years of production experience in a major agency, communications company or production company
+ Proven experience managing citywide conferences and events
+ Significant experience managing all aspects of live events, including AV for live show production, creative and production management, video production, content production and management
+ Strong understanding of content development and management - i.e., event theme/messaging, speaker support, video, interactive, web/social media, mobile apps, live performance, demos, speaker management, digital activations, etc.
+ Proven production competencies: client focus, accountability for results, team effectiveness, developing others, attention to detail, flexibility and professional confidence
+ Successful execution of projects with complicated budgets $20M+ High level knowledge of event logistics
+ Solid project management skills including budgeting, scheduling, and client relations
+ Proficient in Google Drive and Microsoft Office
+ Strong attention to detail, a positive attitude, and a team player
+ Ability to operate within a fast-paced environment
+ Excellent written, verbal and interpersonal communication skills
+ Ability to think quickly under pressure, as well as motivate and engage the team to produce the best possible results
+ Diplomacy and tact in challenging situations and in dealing with different personality types and working styles
+ An agile and creative mind and refined aesthetic sensibilities
