Here’s Where You Come In
We are currently seeking a Facilities Coordinator to join our growing team. You will be responsible for ensuring the smooth and efficient coordination for HUB Northwest regional offices (Alaska, Oregon and Washington), including managing accurate review and payment approvals of rent, utilities and services for multiple locations, coordination of building maintenance services and repairs, vendor invoice approvals, and maintaining a safe and functional environment for occupants. They work with various vendors and contractors to ensure all services are delivered effectively and efficiently.
Essential Duties and Responsibilities
+ Proactively reviews and appropriately addresses emails in Facilities Outlook Inbox
+ Manages Facilities tickets for the region and date reports
+ Manages the access controls programs for HUB Northwest locations (working with the local administrative team members)
+ Preventative Maintenance: Regularly schedules tasks to identify and address potential problems before they escalate, minimizing downtime and costly repairs.
+ Vendor Invoicing / AP Draft Report: Reviews and schedules payments as appropriate for vendor services. Accurately files invoices to cross-reference with AP Draft report.
+ Rent, utilities and service payment reviewed for accuracy and scheduled for HUB Northwest locations.
+ Equipment Inventory and Maintenance: Maintains accurate inventory records for equipment and leased machines. Ensures equipment is in good working order, and coordinates service as appropriate.
+ Vendor Management: Coordinates with external contractors, inspectors, and service providers to handle specific maintenance and repair needs.
+ Other duties as assigned
You’re Great At
Ideally, you’ll be well versed in customer service, with excellent verbal and written communications. You will have a minimum one-year experience in a professional office environment or administrative role. Possess overall proficiency with software systems, highly computer-literate and have excellent organizational skills.
+ High attention to detail, accuracy, and initiative
+ Strong organizational and time management skills: The ability to manage multiple tasks and priorities effectively.
+ Excellent communication and interpersonal skills: The ability to communicate effectively with staff, vendors, and contractors.
+ Basic knowledge of accounting and finance: Understanding of budgeting and cost management principles.

_Disclosure required under applicable law in California, Colorado, Illinois, Maryland, Minnesota, New York, New Jersey, and Washington states: The expected salary range for this position is $26.00- $29.00 per hour and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
