Job Summary:
The Procurement Specialist – Level 1 is responsible for sourcing, negotiating, and procuring materials, components, and services in alignment with U.S. Government regulations (FAR/DFARS), internal quality standards, and program-specific requirements. This role plays a critical part in maintaining supply chain integrity, supporting project timelines, and ensuring compliance in a mission-critical and highly regulated industry.
Key responsibilities include vendor communication, quote generation, purchase order management, shipping coordination, document control, and data entry. The ideal candidate is detail-oriented, organized, and capable of performing high-quality work in a dynamic environment, with flexibility to support additional administrative tasks as needed.
Essential Duties and Responsibilities:
+ Source and procure materials, parts, and services in compliance with FAR/DFARS and company policy.
+ Request, evaluate, and track vendor quotes to support project and operational needs.
+ Generate, issue, and manage purchase orders (POs) accurately and on time.
+ Maintain clear and consistent communication with vendors, service providers, and internal teams regarding order timelines, lead times, and delivery status.
+ Monitor and update procurement records, spreadsheets, and digital files for accuracy and compliance.
+ Handle incoming calls, visitors, and vendors in a professional and courteous manner.
+ Organize and maintain physical and digital filing systems.
+ Accurately enter data into internal systems (e.g., ERP or accounting software).
+ Support accounts payable (AP) and accounts receivable (AR) functions.
+ Perform other administrative and clerical tasks to support overall business operations.
Preferred Qualifications and Skills:
+ Proficiency in Microsoft Office Suite, especially Excel and Word.
+ Experience with QuickBooks or similar accounting software.
+ Strong data entry and accurate typing skills.
+ Team oriented
+ Excellent interpersonal and customer service skills.
+ Highly organized with strong attention to detail and accuracy.
+ Clear written and verbal communication abilities.
+ Basic math skills for pricing, quotes, and reconciliations.
+ Ability to manage multiple priorities and deadlines effectively.
+ Discretion in handling confidential financial and personnel information.
+ Self-motivated with the ability to work independently and collaboratively.
Pay Range:
$25-$29/hour
