This position provides confidential executive administrative support to the Secure Choice Board’s Executive Board, Executive Director and agency office staff. Responsibilities and support functions include managing daily operations, internal and external formal communications, scheduling, legislative related tasks, agency records retention, purchasing, and coordinating internal and external meetings and conferences.
Additionally, the role offers advanced administrative support to task forces and workgroups, fostering stakeholder engagement in policy and program development, and preparing Board members and staff for meetings and projects assigned by executive leadership.
(Optional Telework Language) This position is eligible for up to a 50% hybrid telework arrangement. With a telework agreement, onsite attendance will be required for team meetings or as requested by management to meet business needs. Completion of a telework agreement will be required. Minimum Qualifications
Three (3) years of experience as an executive administrative assistant, office manager, or related experience interacting with chief executive officers and senior managers.
+ Ability to work independently, taking initiative and being proactive at all times and handle confidential information in an appropriate manner.
+ Strong written and verbal communication skills to produce meaningful responses with sufficient detail, accuracy, and tact.
+ Strong managerial and organizational skills; ability to follow-up on tasks and projects with appropriate administrators and staff.
+ Computer skills such as knowledge of Microsoft Word, Power Point, and Excel, Internet search tools and databases.
+ Customer services skills sufficient to actively listen to and understand needs and provide accurate information in a timely, thorough, courteous, respectful manner with a high degree of professional discretion
+ Ability to trouble-shoot and respond to high-pressure situations that may occur in a public setting.
Preferred Qualifications
+ Associate’s degree or higher in Administrative Services, Business or a related field.
+ Previous executive support experience requiring knowledge of laws, rules, and procedures.
+ Experience in providing executive support to a board or multi-member governing body.
+ Knowledge of web content management and digital solutions programs for public meetings (Granicus, Trumba, WebEx, etc.).
+ Familiarity with website development software and technologies, including HTML, Tridion, Google Analytics, and accessibility verification methods.
+ Experience handling travel arrangements.
