    Our Position: We are currently seeking an Accounts Payable (AP) Specialist for our corporate office located in Williamsville, NY to maintain our Accounts Payable within the written policies and procedures of the Agency.

     

    + Performs clerical functions of the finance department including maintenance of files, preparation of correspondence, and photocopying.

    + Processes all purchasing and payables supporting documentation for payment according to Agency policies and procedures. This includes but is not exclusive of, the Agency’s general fund and Independent Rep Payee accounts.

    + Investigates variances and missing documentation and follows through to timely completion.

    + Inputs purchasing and payables information into accounting software and reconciles input to expected outcomes.

    + Prepares the accounts payable and purchasing reports.

     

    Our Schedule: Monday-Friday 8:00am-4:30pm (40 hrs. per week)

    Our Requirements:

    Associate’s degree in business administration or related field PLUS one year of experience in an accounting/bookkeeping position

    OR

    High School equivalency diploma PLUS two years of experience in accounting/bookkeeping positions.

    PLUS

    Knowledge of financial accounting and record keeping practices; knowledge of accounting terminology, procedures and equipment; ability to follow oral and written directions and accurately prepare correspondence, reports and other materials from general directions; good judgment in financial record keeping procedures; ability to maintain confidentiality of records.

     

    Experience in Microsoft Excel and Word.

    Position Summary:

    Maintain Accounts Payable within the written policies and procedures of the Agency. Performs clerical functions of the finance department including maintenance of files, preparation of correspondence, and photocopying.

    Reporting Relationship:

    Reports directly to the Accounts Payable Manager.

    Job Duties and Responsibilities:

    + Processes all purchasing and payables supporting documentation for payment according to Agency policies and procedures. This includes but is not exclusive of, the Agency’s general fund and Independent Rep Payee accounts.

    + Investigates variances and missing documentation and follows through to timely completion.

    + Inputs purchasing and payables information into accounting software and reconciles input to expected outcomes.

    + Prepares the accounts payable and purchasing reports.

    + Maintains files of outstanding purchase orders, invoices and vendor statements.

    + Reconciles vendor statements on a timely basis and investigates variations.

    + Performs data entry of accounts payable information, ensuring all documentation is received and accurate.

    + Prepares manual checks when necessary.

    + Maintains the weekly schedule for printing and releasing checks.

    + Assists in completing the AP monthly and closing and financial reports.

    + Maintains computerized worksheets as are necessary.

    + Assists in preparation of audit work papers.

    + Responds to routine correspondence as assigned.

    + Performs other duties as assigned.

    Qualifications and Education Requirements:

    + Human Relations Skills:

     

    The ability to communicate with individuals in a positive manner, demonstrate the ability to be a leader and serve as an appropriate role model to staff members. Receive supervision instruction in a positive manner. Adhere to and administer Agency’s policies, procedures, rules and regulations. Maintain a professional attitude and appearance at all times.

     

    + Equipment Operation:

     

    The ability to operate business equipment; telephones, fax machines, computer hardware and software, including applications and programming, copiers, calculators, etc.
