We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO). The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities Include:
+ **Administrative Support:** Provide high-level administrative support to the CEO, including managing active executive calendars, making and coordinating complex travel arrangements, planning and scheduling meetings with internal and external leaders and others, prioritizing conflicting needs. Prepare and organize materials for meetings, ensuring all necessary documentation is available.
+ **Communication Management:** Serve as the primary point of contact for internal and external communications on behalf of the CEO. Draft, edit, and proofread correspondence, presentations, and reports as needed. Read and analyze incoming documents to determine their importance and plan their distribution.
+ **Project Coordination:** Manage key projects and initiatives, tracking progress, deadlines, budget and deliverables. Work collaboratively with a high level of autonomy across teams to ensure timely completion of projects.
+ **Strategic Decision Support:** Analyze complex data and prepare reports to assist the CEO in strategic decision-making. Make recommendations based on findings and act autonomously on routine issues that align with the CEO's objectives.
+ **Meeting Coordination:** Plan, organize, and facilitate meetings inclusive of quarterly Board meeting. Ensure that the CEO is well-prepared for all agenda items.
+ **Confidentiality:** Handle sensitive and confidential information with the utmost discretion. Ensure compliance with company policies and legal regulations regarding data privacy.
+ **Stakeholder Engagement:** Liaise with key stakeholders across the organization to gather information and insights that inform financial and commercial strategy and initiatives. Facilitate communication between departments to ensure alignment with the vision.
+ **Process Improvement:** Identify opportunities for improving operational efficiency and implement best practices to streamline processes and enhance productivity.
+ **Other:** Support other C-Suite executives as needed.
+ Bachelor’s degree in Business Administration, Finance, or a related field preferred.
+ Minimum of 5 years of experience as an executive assistant or in a similar administrative role, preferably supporting senior executives.
+ Strong understanding of business and experience in a publicly held corporate environment is a plus.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
+ Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
+ Exceptional written and verbal communication skills.
+ Strong interpersonal skills and the ability to work collaboratively with diverse teams.
+ High degree of professionalism, integrity, and ability to maintain confidentiality.
