Senior Business Assistant

Position Description:

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.

Major/Essential Functions:

+ Ensure the clinic is open and/or closed for business everyday: Transfer phones, offices locked/unlocked, office equipment is turned off/on for services. Ensure workstations and waiting area.

+ Greet clients with a friendly and welcoming attitude. Accurately update information for clients in a timely manner. Schedule and Check-In clients. Assist clients in obtaining accurate business office information including consent for treatment, crisis intervention, and others as policy requires.

+ Set up telehealth/self-help clients in Therapy Assistance Online (TAO). Email "How to" Instructions to clients. Ensure that a client's counselor I updated in TAO in the instance the client needs to reschedule.

+ Direct clients to MindSpa Relaxation and Biofeedback rooms and give instructions on how to use the equipment. Ensure the MindSpa and Biofeedback rooms are clean, and supplies are stocked as needed.

+ Ensure that the MindSpa Relaxation and Biofeedback rooms are clean and water foundation has water and other supplies needed.

+ Keep track of supplies needed for office and order via TechBuy as needed. Check in supplies once received and stock shelves/cabinets accordingly.

+ Maintain healthy relationships with the Student Counseling Center staff.

+ Promptly and accurately respond to internal and external request.

+ Process the Release of information forms for clients.

+ Scan paperwork that needs to be in client's files Release of Information forms for clients.

+ Other duties as assigned.

Required Qualifications:

A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.

Pay Statement:

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan.
