Summary:
The Department of Surgery is seeking a highly motivated Administrative Coordinator to support the Pediatric Surgery Division. This position will serve as the primary administrative assistant to the Division Chief, providing high-level administrative and clerical support. The coordinator will also assist multiple Pediatric Surgery subdivisions, including faculty and Advanced Practice Providers. Responsibilities:
• Provide day-to-day administrative support to the Division Chief and Pediatric Surgery providers
• Manage calendar scheduling, coordinate meetings, conferences, and travel arrangements
• Process expense reports and handle purchasing activities
• Screen incoming calls and visitors in a professional manner
• Assist with faculty interviews and onboarding of new faculty
• Manage confidential information with discretion
• Monitor and respond to emails and electronic faxes as directed
• Process faculty Curriculum Vitae (CV)
• Support system leadership with national organizations and committees
Other Information
Education Requirements:
• High School diploma or GED
Licensure/Certification Requirements:
• No licensure or certification required.
Professional Experience Requirements:
• Three (3) years of clerical or administrative experience.
• If Bachelor's degree, one (1) year of clerical or administrative experience.
• If Associate's degree, two (2) years of clerical or administrative experience.
Knowledge/Skills/and Abilities Requirements:
• Exceptional organizational skills and attention to detail
• Strong verbal and written communication abilities
• Demonstrated customer service orientation
• Ability to manage multiple tasks and prioritize effectively
• Capable of working independently and meeting deadlines
• Experience in project management
• Background in professional writing and editing preferred
