We have a great opportunity to join our team at our Plymouth, MN branch. The Administrative Assistant role ensures the smooth and efficient operation of the office by providing higher-level administrative support. The Administrative Assistant plays a crucial role in managing and maintaining accurate inventory levels for stock products, supporting efficient warehouse operations, and ensuring customer satisfaction through operational excellence. This role involves collaboration with internal teams, maintaining relationships with suppliers, and performing administrative tasks to support the inventory and purchasing departments.
Responsibilities Include:
Manage claims, return goods queue, and vendor return processes. Maintain inventory levels through return process management
Handle administrative tasks, including answering phones, document indexing, filing, return communication, processing cc payments, and managing demand delivery charges
Communicate with the inventory team regarding return status, issues, and resolutions
Support inventory control initiatives by managing proper documentation and quality control processes
Assist in resolutions efforts with appropriate departments by monitoring and reporting invoice discrepancies
Maintain strong relationships with vendors to ensure seamless coordination for return authorizations and inventory management
Collaborate with JHL teams and management to achieve inventory and customer satisfaction goals
Support other departments with clerical and operational tasks as needed. Order, track, and maintain office supplies to ensure smooth day-to-day operations. Identify opportunities to streamline administrative processes, improving efficiency and accuracy
### Minimum Education Required
Highschool diploma or GED
### Minimum Experience Required
1 year working in a team environment
Computer experience with Microsoft Word and Excel
Ability to effectively handle multiple tasks and collaborate within a multi-functional team
Strong verbal communication skills for interacting with team members
Strong analytical, negotiation and decision-making skills
Ability to manage multiple tasks and prioritize effectively
Ability to work safely and accurately
Strong math skills (addition, subtraction, multiplication) and reading skills
Detail orientated, organized, consistent and tenacious.
Strong time management skills
Self-motivated and self-starter
Warehouse, shipping, and delivery experience preferred
Eclipse knowledge helpful
