License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required.Experience Qualifications: Two years in an office/clerical environment required. Experience in customer service preferred. Bilingual in Spanish preferred.Skills Qualifications: Effective communication skills; ability to follow oral and written instructions; ability to relate to all levels of current employees; ability to respond to inquiries and requests from internal and external customers; efficient computer and office skills; and ability to act as a representative of Gwinnett County Public Schools.Primary Responsibilities: Provide clerical support and conduct front desk and telephone communication functions for the Transportation Department.1. Provide customer support and aid in resolving public/parent concerns by routing them to appropriate personnel.a. Greet employees and visitors upon entering the office.b. Answer concerns or re-direct telephone calls from GCPS parents or the general public.2. Support the Transportation Department by assisting with the computerized maintenance management system, Maximo, calendars, and various other services as needed.a. Initiate Maximo requests as needed for general building maintenance or repairs.b. Assist with the scheduling of facilities for various meetings.3. Record meeting minutes and prepare minutes for distribution.4. Assist with executing the budget by preparing monthly expenditure summaries. 5. Create, produce, and manage department support materials.a. Ensure all Transportation Department forms are current and accurate.b. Organize and distribute kindergarten registration materials.c. Order all necessary printing materials throughout the year.d. Make necessary corrections and additions to the yearly printed logbook.e. Aid in printing the student transportation bus tags.6. Assist with the monthly department newsletter.7. Order supplies and process returns for the department. 8. Perform other duties as assigned.Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
