    Job Description

    Principal Duties and Responsibilities

    Employee Benefits Administration

    • Coordinate enrollment and termination of employee benefits; maintain supporting documentation and company policy records.

    • Conduct benefits orientations and open enrollments; prepare and distribute materials and maintain benefit databases and portals.

    • Serve as the primary contact for carriers, brokers, payroll providers, and third-party administrators.

    • Respond to employee inquiries regarding benefit plans, status changes, and plan provisions.

    • Process leave of absence requests (FMLA, disability, medical, personal), as well as exit letters for terminations.

    • Oversee maintenance of employee benefits files and PTO program data, ensuring accuracy in payroll records, deductions, and compensation.

    • Reconcile payroll and benefits invoices and balance reports for billing accuracy.

    Contracts Administration

    • Support the Senior Contracts Administrator in creating and maintaining Sentinel Service Contracts and Informatics Contracts.

    • Ensure timely creation and renewal of invoices for contracts and work with hospitals to complete renewals efficiently.

    • Maintain existing contracts, making equipment or documentation updates as needed and communicating changes to relevant teams.

    • Collaborate with Sales, Logistics, Finance, and Legal teams to ensure all required documentation is received, accurate, and compliant.

    • Assist in acquiring and maintaining Certificates of Insurance (COIs) for master agreements; liaise with insurance companies to update and provide COIs as necessary.

    • Assist the Finance team and perform other related duties as assigned.

    Additional Responsibilities

    • Support company events, process weekly expense reports, and assist with policy development and documentation (SOPs).

    • Participate in finance department projects, including audits, governmental reporting, and fixed asset maintenance.

    Skills and Requirements

    • Bachelor’s Degree in Human Resources, Business Administration, or related field required.

    • Experience in benefits administration and/or contract management preferred.

    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with ERP systems preferred.

    • Familiarity with federal and state regulations related to benefits (FMLA, COBRA, Section 125).

    • Strong communication, analytical, and problem-solving skills.

    • High attention to detail, strong organizational skills, and ability to manage multiple priorities under tight deadlines.

    • Customer-focused, proactive, and able to work both independently and collaboratively across departments.

    • Physical requirements include regular sitting, walking, talking, and hearing; ability to lift up to 15 pounds frequently and up to 50 pounds infrequently.
